We are exclusively partnered with a boutique executive search firm specialising in the investment sector to find a talented, organised, and ambitious Team Assistant. The role is based in modern, open-plan offices with an onsite gym, café, and bar, as well as excellent transport links. The Role
You’ll be a key member of the operations function, supporting day-to-day activities that keep the firm running smoothly and impressing clients globally. Responsibilities include:
* Complex diary and meeting coordination
* Schedule and manage meetings, interviews, and video calls across time zones with precision and foresight; manage last-minute changes gracefully.
* Stakeholder liaison
* Build strong relationships with clients, candidates, and client-side support teams; represent the firm with professionalism and warmth.
* Document and report preparation
* Assist in the production of client deliverables including candidate resumes, update reports, and pitch presentations—ensuring they are consistent, brand-aligned, and beautifully presented.
* Creative marketing & content support
* Use your strong written English and design sense to support the creation of marketing materials, team bios, brochures, and internal documents.
* Office and culture support
* Help organise in-house and off-site team activities, maintain supplies, and support wider company operations.
* System and process support
* Encourage best practice use of Clockwork (or similar CRM) and internal systems to ensure smooth team workflow.
* General administrative support
* Assist across all areas as needed, ensuring no detail is missed and deadlines are always met.
What We’re Looking For
We’re seeking someone who blends operational excellence with creative capability—someone who is confident and calm under pressure, yet sociable and kind by nature.
You’ll bring:
* A degree-level education
* 3–5 years’ experience in a team assistant, support, or coordinator role in executive search, recruitment, or a talent function—ideally within financial or professional services
* Outstanding written and verbal communication skills, including creative writing and client-facing content production
* High standards, attention to detail, and a strong sense of ownership
* The ability to build rapport at all levels, particularly with senior stakeholders
* A naturally polished and poised manner—comfortable interacting with senior executives and global clients
* A kind, approachable personality and a team-first mindset
* Comfort in a target-driven, deadline-oriented environment
* A proactive, problem-solving approach to everything you do
Technical Skills
You’ll need to be confident with a range of tools and platforms, including:
* Microsoft Office (Outlook, Word, Excel, PowerPoint)
* Canva – for creative design tasks and social materials
* Google Slides – for client and internal presentations
* Adobe Photoshop & Illustrator – for polished, professional-quality design
* Clockwork (or similar CRM/database experience)
* Strong penmanship and creative writing skills for marketing, bios, and brochures
