You would be undertaking a variety of administrative tasks, which also include liaising with our couriers and customers to ensure all services are delivered for our customers. Could you also assist and support the office managers with administration and data-entry procedures? Do you have a positive and friendly personality with confidence to communicate with colleagues, customers and suppliers? WBM are looking for a reliable Office Administrator Apprentice. They will undertake administrative tasks within the office, playing a primary role in ensuring the office managers have adequate support to work efficiently. The ideal candidate will be competent in prioritizing their own workload and tasks whilst working with little supervision. They will be trustworthy and self-motivated. Working autonomously and as part of the team, the role will include involvement with the co-ordination and implementation of office procedures. Frequently having responsibility for specific projects and tasks. Most of the work involves both oral and written communications, word processing and typing, and requires relevant skills such as IT, organisational and presentation skills, as well as the ability to multi-task and work well under pressure. Using Microsoft suite such as Microsoft Word, Excel, Outlook & PowerPoint Ø Responding to email enquiries using templates and process-flows Ø Maintaining stock lists and ordering of office and warehouse consumable supplies as needed Ø Conducting clerical duties, including filing, scanning, photocopying and preparing documents Ø Keeping management informed by producing reports, summarising information and identifying trends where necessary Ø Contacting customers to provide updated records on their fundraising achievements via phone and email Ø Create and update customer records and databases by inputting personal, financial and other data Ø Process collection requests from customers by using 3rd party couriers such as DHL, and providing confirmation to the customer along with shipping documents and instructions Ø Scheduling inbound shipments and booking deliveries Ø Liaising with the Warehouse Manager to organise and schedule high-volume shipments Ø Scheduling daily / weekly checks for missing / late shipments, liaising with 3rd party couriers to establish why, what and how to resolve the issue, keeping databases and relevant managers updated and informed Ø Handling phone calls, transferring when necessary and taking messages for managers Ø Being a point of contact for visitors arriving on site Ø To undertake other projects, duties and responsibilities as required by the management team to help achieve the business objectives Ø To attend training, as agreed with the management team, with an open-mind and willingness to learn and implement new methods Ø To attend monthly review meetings with the management team and present progress of objectives Ø To identify areas of improvement and implement corrective actions in order to achieve objectives Ø To positively contribute to the company culture.
