Job Description and Key Responsibilities
Please note, due to funding for SVQ, this role is open to candidates aged 16-24.
1. Provide administrative support to maintain the Project Cost Management (PCM) System, ensuring accuracy through effective management of project records, timesheets, expenses, and invoices.
2. Assist in project delivery by raising reports, maintaining electronic project lists, and managing client records, including contact information.
3. Administer SER information, ensuring records are accurate and timely.
4. Support reception duties, including telephone response, meeting clients, arranging travel and accommodation, managing customer data, key logs, and company car arrangements.
5. Verify that all supplier insurances and relevant documentation are current and correct.
6. Manage document control, including electronic and paper-based filing, correspondence, and customer service.
7. Maintain systematic resident filing, including archiving and retrieval.
8. Support partners and employees with communication, meeting coordination, and training.
9. Handle customer inquiries, complaints, and compliments professionally.
10. Perform clerical duties such as holiday and sickness records and minute preparation.
11. Ensure office supplies are adequately stocked.
12. Perform other duties as appropriate to the role.
Experience, Knowledge and Key Skills
Extensive knowledge of Microsoft Office suite, excellent communication and organizational skills, professional telephone manner, ability to work independently, meet deadlines, touch typing skills, high accuracy and attention to detail, and a proactive approach to tasks.
Education, Qualifications and Training
Standard Grade (or equivalent) in English and Maths; ability to achieve SVQ Level 6 in Digital Application.
Additional Requirements
Proactive, independent, flexible in time management, and capable of working under pressure.
