Full time, office-based role in central Edinburgh
Front of house position with legal administration exposure
We're working with a law firm in Edinburgh that is looking to bring in a Legal Administrator / Front of House to support their Equity Release, Conveyancing and Commercial teams. This role acts as the first point of contact for clients while also providing administrative support across property transactions. It suits someone looking to build experience within a legal office while working in a client-facing position.
Responsibilities include:
* Acting as the first point of contact on reception, answering and routing calls and taking messages
* Meeting and greeting clients and visitors and ensuring a professional front of house experience
* Managing the reception inbox and directing enquiries to the appropriate teams
* Opening, sorting and distributing Royal Mail and preparing outgoing post for collection
* Collecting and delivering DX from the Exchange
* Monitoring and ordering office stationery
* Inputting client details into the firm’s internal systems and onboarding new client information
* Requesting and monitoring ID verification through Amiqus
* Preparing and sending welcome letters to clients
* Checking Registers of Scotland to confirm property register details
* Ordering title deeds where required and scanning and filing documents within internal systems
* Making outbound calls to clients to welcome them, book meetings and provide updates
* Booking meetings, preparing documents and updating calendars for the team
* Submitting advance notices and sending documents to lenders’ solicitors
* Preparing fee notes, statements and completion documentation
* Supporting the wider team with administrative tasks and call handling as required
What we need from you:
* Previous administrative experience, ideally in a professional services environment
* Confident telephone manner and ability to manage a busy reception line
* Strong written and verbal communication skills
* High attention to detail when handling documents and client information
* Ability to prioritise tasks and manage multiple pieces of work
* Comfortable using Microsoft Office and general office systems
* Legal or conveyancing exposure is helpful but not required
