PRS are currently looking for an experienced facilities coordinator to work for a prestigious client based at their head office in Hayes.

This candidate will need to be someone with excellent customer service, IOSH, First Aid and Fire Marshall training.


Primary Responsibilities

* Meet and greet external and internal visitors
* Health & Safety induction to visitors and contractors upon arrival
* Manage Switchboard
* Support visitors and employees with day to day queries
* Book taxis on request
* Co-ordinate the shuttle bus service
* Co-ordinate the allocation of car park spaces and passes
* Co-ordination of hire cars
* Manage the allocation of visitor and employee security passes
* Ensure reception and visitors meeting area is kept tidy and welcoming
* Manage the stationery and printing supplies
* Support the meeting room booking system
* Manage incoming/outgoing post and couriers
* Day to day support to the Office Manager
* General admin duties
* To be fully trained as a First Aider & Fire Warden
* Ensure site security standards are met
* Cover Office Manager in their absence
* Support meeting room set ups, when required
* Co-ordinate health and safety matters, under instruction of the Office Manager
* Co-ordinate any security issues, including CCTV and security access systems
* Support Office Manager with calling out facilities suppliers, as and when required
* Report any facilities related issues to Office Manager
* Raise purchase orders for supplier payments
* Keep first aid & fire warden training up to date and coordinate training as/when required
* Keep spreadsheet of all supplier payments and chase finance when invoices are outstanding
* Support Office Manager with Mobile Phone enquiries
* Liaise with Soul Deli regarding weekly milk & fruit deliveries
* Monitor & action the Facilities inbox escalating to Office Manager when necessary
* Coordination & arrangement of onsite Facilities such as kitchen area, to include coffee/water machines, meeting rooms, first aid boxes, stationery replenishment and ordering
* Liaising with and supervising contractors onsite
* Coordination of VIP meetings when requested
* Daily Meeting Room checks to ensure theyre replenished and set up ready for the next day
