What are we looking for?
We are looking to appoint an Assistant on a fixed-term contract who will support the Commercial department in the planning and delivery of RIAT 26,
Your Main Responsibilities Will Include
* Maintain and accurately update the event database, ensuring all incoming changes to guest information, including names, titles, posts, and event details, are recorded promptly and correctly.
* Undertake tasks to support in office administration as required.
* Ensure that the Chalet Visits and Industry Meetings run smoothly over the show.
* Assist with the scheduling of meetings and booking meeting rooms via the meeting portal.
* Responsible for managing all corporate meeting requests on the meeting portal and working alongside Holding Officers to ensure successful meeting scheduling.
* Liaise with chalets each day over showtime to check if they have spaces for members of overseas delegations to sit for lunch.
* Support the distribution of guest event passes and access information.
* Manage and process the changes of guests in a timely fashion and liaise with the Seating and Programmes teams to notify them of all changes
* Tracking and monitoring event RSVPs via the event database, email and telephone
* Answering guest queries via email, telephone and in person at the event

36.25 hours per week. Based in Fairford, Gloucestershire
All employees are required to work the Saturday or Sunday before the Royal International Air Tattoo and the whole weekend of the event.

About You
The ideal candidate will be educated to GCSE or equivalent level and possess essential knowledge of guest management and event logistics, with additional experience in the events industry and a basic understanding of the Military and Defence sector seen as desirable. They will demonstrate strong organisational and time‑management skills, remaining calm and effective under pressure while meeting tight deadlines. A confident telephone manner, high levels of numeracy and literacy with strong attention to detail, and solid IT proficiency are all essential, alongside excellent written and verbal communication abilities. Personally, the candidate will be confident, a committed team player, and dedicated to delivering excellence, showing ambition, pride, and a strong customer service orientation, while always placing safety first.
