Job Summary

We have a great opportunity for a highly organised and detail-oriented Administration Assistant to join our team hours/week here at Miele's Gelateria in Inverness.

The successful candidate will provide essential administrative support across various departments, ensuring smooth daily operations. This role offers an excellent opportunity for individuals with office experience and strong computer skills to contribute to a professional and dynamic environment. The position is suitable for applicants who enjoy a fast-paced setting and have a desire to thrive and grow within a family orientated business.

Main Responsibilities

* Manage incoming calls professionally & directing enquiries as appropriate.
* Assist with monitoring multiple inboxes
* Provide administrative support to the office manager and working closely with senior management.
* Establishing and maintaining strong working relationships with customers.
* Assist with onboarding & offboarding processes, contracts & inductions.
* Managing calendars, scheduling and booking meetings
* Ordering supplies when necessary
* Assisting with social media and other relevant marketing channels & stock
* Learning, understanding & maintaining invoicing & stock software.
* Phoning current & prospective customers to build rapport & understand client needs.

Requirements

* Proven office or administrative experience
* Excellent organisational skills with the ability to prioritise tasks effectively
* Strong communication skills with a professional manner over the phone and email
* Excellent IT skills including Google Workspace, Excel and Word
* Attention to detail and a proactive approach to problem-solving
* Comfortable working in a fast-paced environment where no two days are the same
* Experience of Quickbooks would be advantageous but not essential.

Salary £ £24750 depending on experience and hours
