Administrative Assistant
Grandville Calvin Christian School (GCCS) is seeking a mission-driven Administrative Assistant to provide vital support to the Business Office in advancing the school’s mission of. This position combines clerical responsibilities with event and project support, working closely with the Head of School and the Directors of Development and Finance. The ideal candidate will be highly organized, detail-oriented, and committed to Christian education.
Duties and Responsibilities
1. Answer incoming phone calls, greet and assist visitors and parents, and provide excellent front-line customer service.
2. Handle routine administrative tasks such as supply ordering and office organization.
3. Provide support to the Head of School on special projects, research, and data collection.
4. Assist the Director of Development with correspondence, reports, and large mailings using mail merge and mailing lists.
5. Assist the advancement team in coordinating, planning, and implementing special events.
6. Maintain the Blackbaud database, ensuring accurate records, including address changes, additions, and deletions.
7. Manage alumni records and assist reunion committees with communications, mailing lists, and event planning.
8. Support the Finance Team with basic accounting tasks, including accounts payable, filing, and other assigned projects.
9. Work cooperatively with the Business Office staff to ensure shared responsibilities are effectively managed.
10. Flexibility in work hours to provide seamless office support when needed.
Qualifications and Requirements
11. Personal relationship with Jesus Christ and a commitment to Christian education.
12. Regular worshiping member of a Bible-believing Christian church.
13. Associate’s degree required; Bachelor’s degree preferred.
14. Minimum of 3 years of experience in an administrative or executive support role, preferably in an educational or nonprofit setting.
15. Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
16. Self-motivated, dependable, and able to work both independently and collaboratively.
17. Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and experience with mail merges, donor databases (e.g., Blackbaud), and other office technologies.
18. Experience with event planning and coordination preferred.
19. Ability to maintain confidentiality and handle sensitive information with discretion.
20. Demonstrated initiative, problem-solving ability, and attention to detail.
21. Strong interpersonal skills and the ability to build positive relationships with staff, parents, donors, and the broader school community.
22. Background or experience in donor relations, business communications, or finance is an asset.

Other Details
24. Reports directly to Head of School and indirectly to Directors of Development and Finance.
25. 30 hours per week (ideally 9:00-3:00).
26. Salary commensurate with experience.
