Petroineos Terminal, Grangemouth ¿ Temporary Administrator About Us Petroineos is Scotlands biggest and newest fuel import and distribution Terminal. Ideally located in Grangemouth, the Terminal Road Station hosts approx. 500 vehicle movements daily supported by a Tank Farm and Jetties, providing shipping and storage support to the 24/7 operation. About the Role We are looking to recruit a highly motivated Administrator with excellent communication skills, to join the Services Team to help set up the administration service for our Terminal business in Grangemouth. This is a temporary role for 6 months and is based on site, for 37.5 hours per week. The successful candidate will provide comprehensive administrative and system support for c60 staff within the Terminal. Key Responsibilities: - Systems Support they must be an advanced user of SharePoint and the Microsoft office suite of applications, the role will be required to:
1. Support the establishment of SharePoint as the key document management system within the Terminal.
2. Act as the initial POC for SharePoint user and access queries.
3. Maintain the SharePoint and Intranet site
- General administration support which includes:
4. Management of coordination of office space, meeting rooms and building logistics.
5. Establishing administrative processes.
6. Coordination of Terminal service suppliers including supplier management and escalation process for supplier issues. Including but not limited to: Stationery, PPE, Cleaning and Catering, Waste Management Services and Welfare facilities and rations.
7. Coordination of diaries in support of visits, training, briefings, which includes the management of invites, room bookings.
8. Administration of visits including; transport arrangements; inductions; supply of safety clothing; meeting schedules; refreshments.
9. Recording and reporting building maintenance issues and fault reporting.
10. Meeting room management.
11. Production and distribution of daily, weekly and monthly reports as directed by the HR Manager
12. Processing and receipting of invoices and payments in the SAP and Maximo system.
Qualifications, Knowledge & Skills:
13. At least 1 years-experience in an administrative role, preferably in a manufacturing environment.
14. Organisation, time-management and planning skills with strong attention to detail.
15. Driven, able to prioritise a diverse workload.
16. Data Management - competent in managing confidential information ensuring integrity of the systems and appropriate retention mechanisms are in place.
17. Must have advanced IT and system skills and be an expert user of SharePoint and the Microsoft office suite of applications.
18. Exceptional communication and stakeholder management skills.
19. Able to change direction quickly.
Salary The RPH for this role is up to £15-16 dependent on experience.
