Overview

Baker Ashley Solicitors is a busy and growing legal practice based in Pontypridd. We pride ourselves on delivering a high standard of service to our clients. We are seeking a professional, organised and friendly Administrator / Receptionist to join our team.

As the first point of contact for clients and visitors, you will create a positive impression and support the smooth day-to-day running of the office. This is a varied role, combining front-of-house reception duties with administrative support for our fee earners and staff.


Responsibilities

Reception Duties:

* Greet clients and visitors in a professional, courteous manner
* Answer and direct incoming telephone calls
* Manage the firm’s general email inbox and redirect enquiries appropriately
* Maintain a tidy and welcoming reception area
* Schedule appointments and manage meeting room bookings

Administrative Support:

* Handle incoming and outgoing post
* Maintain and update client files (electronic and paper-based)
* Assist with preparing legal documents, correspondence, and reports
* General office duties including photocopying, scanning, filing, and data entry
* Monitor and order office supplies; liaise with suppliers as needed
* Support colleagues with admin tasks, including archiving and file retrieval


Essential Requirements

* Previous experience in a receptionist or administrative role (ideally in legal or professional services)
* Excellent verbal and written communication skills
* Strong organisational and time management abilities
* Confident using Microsoft Office (Word, Outlook, Excel)
* Professional telephone manner and commitment to client care
* Discretion and confidentiality when handling sensitive information


Desirable

* Experience in a solicitors’ firm or legal environment
* Familiarity with case management software (e.g. Hoowla)
* Basic understanding of legal terminology or processes
