We are seeking a Contract Support Coordinator to join our team on a permanent basis at our Cirencester site. This role is ideal for someone with experience in data processing and administrative roles, who is comfortable working to deadlines and managing a varied workload.
Working as part of a collaborative team, you will liaise with multiple departments to ensure the smooth delivery of services. Key responsibilities include processing orders and ensuring the correct items are delivered within agreed timescales to meet both business and customer requirements. You will also support the Account Management Team and Supply Chain Category Manager in managing subcontractor and supplier performance, and create and process quotations and estimates in line with agreed SLAs and KPIs.
What You'll Be Doing
1. Raise accurate purchase orders for parts and services, ensuring best value, correct pricing, and delivery within agreed timescales.
2. Maintain purchasing and works order systems, updating order, delivery, subcontractor, and cost information accurately.
3. Prepare and submit quotations for client approval.
4. Engage and support suppliers and subcontractors, ensuring compliance with company processes and SLAs.
5. Prioritise workload effectively to support timely completion of reactive and PPM works.
6. Resolve supplier, delivery, and invoice queries promptly, supporting the reduction of aged debt.
7. Work proactively with Supply Chain and internal teams to prevent and resolve issues.
8. Maintain accurate documentation, data, and reporting, managing high volumes of information with attention to detail.
9. Support departmental KPIs, continuous improvement initiatives, and uphold ethical, compliant, and professional standards at all times.
What We're Looking For
Knowledge and Skills
10. Proven administrative background.
11. Working knowledge of Microsoft Office, including Excel, Word, and PowerPoint.
12. Minimum of 5 GCSEs (or equivalent) at grades A–C, including English and Maths.
13. Ability to use and learn specialist software systems.
14. Excellent written and verbal communication skills.
15. Strong analytical skills with the ability to work to deadlines.
16. High level of accuracy and attention to detail.
17. Effective team player, with the ability to work independently and use initiative.
18. Strong organisational and time management skills.
19. Excellent customer service skills.
