Purpose:
We are on the lookout for a professional, welcoming, and experienced Receptionist to join our team. You will perform reception, administration, and secretarial duties efficiently and effectively on behalf of the building in which you are located in.
Working within and managing a 5* Mitie team, you will be the face of client workspace, taking full ownership of the working environment by delivering a first-class service across all integrated facilities management services. You will ensure all customer requests and site activities are carried out efficiently and effectively whilst providing an exceptional customer experience for all whom reside or visit client premises.
Accountabilities & Key Activities
1. Drive a customer excellence culture, ensuring all guests receive a warm welcome and consistently high service.
2. Use computer systems effectively, including accurate data entry into Excel and Word.
3. Manage guest complaints, resolving issues promptly or escalating when needed.
4. Maintain immaculate uniform standards and adhere to Signature grooming expectations.
5. Build professional relationships with key stakeholders to understand their requirements.
6. Act as the central on-site contact for all service lines, contractors, clients, and guests.
7. Process emails via the joint inbox efficiently.
8. Manage taxi bookings, general enquiries, and customer/client requests.
9. Work flexibly as part of the wider on-site team.
10. Welcome visitors professionally, managing security passes and transport needs.
11. Demonstrate friendly, professional behaviour with appropriate body language.
12. Maintain professional telephone and email etiquette, using correct greetings and sign-offs.
13. Anticipate and respond to client and visitor needs proactively.
14. Manage the booking system, assigning desks, rooms, and collaboration areas.
15. Issue security passes to visitors and contractors.
16. Manage the switchboard, ensuring all calls are answered and directed appropriately; maintain the call database.
17. Collate and maintain data for periodic reporting.
18. Deliver all reception duties in a friendly, professional manner.
19. Collaborate with other Receptionists to follow all policies and ensure seamless service.
20. Manage incoming/outgoing post, including franking and adhering to postal procedures.
21. Book shuttles and taxis through approved providers and maintain clear communication.
22. Maintain electronic filing systems, ensuring completeness and accuracy.
23. Support improvements to filing processes and systems.
24. Assist with preparing documents and information ahead of audits.
25. Perform additional reasonable duties as required, including courier and postal support.
26. Maintain and use an information portfolio to assist with client queries (transport, parking, local amenities, restaurants, hotels, etc.).
What we are looking for / Qualifications and Experience:
Demonstrated ability to contribute as a member of a team to achieve positive outcomes and provide quality service to customers Proven ability to provide a high level of customer service Acceptable level of Interpersonal and communication skills, with the ability to liaise with customers and staff at all levels in both written and spoken English Previous knowledge of Microsoft systems (word, excel ect) desired but not essential Computer Proficiency Ability to work independently if needed At least 2 years of a training background or customer service role is desirable Previous knowledge of desk booking systems is also desirable but not essential SIA licence
