The Role
Provide comprehensive support to the Head of Governance & Secretariat in the delivery of services to the Council and associated Committees; acting as the primary contact person for Non-Executive Directors of the Council, members of Lloyd’s Committees and their PAs in relation to all governance meeting arrangements.
Major responsibilities and accountabilities
* Responsible for organising and co-ordinating the administration of all Lloyd’s Council & associated committee meetings including managing the meeting invitations, attendance list, catering and the use of secure conference call software.
* Lead the annual Council and Council Committee date setting process
* Establish working relationship with Council, Committee Members and their PAs in verbal, written and electronic correspondence, acting as the main contact for any logistic queries regarding Council & committee meetings. This includes liaising directly with the Chairman’s office to seek the Chair’s availability, and liaising directly with the Chief People Officer’s team to set the annual Remuneration Committee dates.
* Organise Council Lunches and Dinners including venue, attendance list and table plans
* Arrange the Council Alumni Dinner on behalf of the Chairman, this includes organising the venue, attendance list and table plan
* Arrange mandatory/non-mandatory training sessions for Council
* Arrange interviews for prospective members of the Council and associated committees, and arrange the delivery of induction programmes for new members.
* Organise the annual Council Strategy off-site and any overseas Council meetings, collaborating with the CEO’s Office and other internal teams as required
* Lead and manage the administration of processing Requisitions, Secretariat invoices, Non-Executive Director fees, Invoices and expenses via Workday
* Manage the administration involved in appointments, leavers and re-appointment for Non- Executive directors
* Arrange any Ad-hoc Governance meetings as and when required
* Provide support to the Head of Secretariat & Governance including diary management, team holiday management, assisting with new starters, arranging team meetings and managing the shared team inbox, ensuring that all queries are dealt with by the appropriate team in a timely manner
* Supporting the Head of the Risk & Governance Team in respect of the delivery of services to the Lloyd’s Enforcement Tribunal as required
* To act pro-actively in identifying and implementing innovative procedures and solutions to ensure the most efficient provision of administrative support is provided to the function
* Holiday cover for CEO’s EA tasks
* Arrange Annual 1:1 meetings for Council Members and the Head of Secretariat & Governance
* Arrange Deputy Chair meetings
* Budget – awareness of spend categories and costs. Attend the monthly finance cost centre review meeting with Finance and the Head of Governance & Secretariat to discuss such matters, and escalate any costs and invoice items as needed
* Holder of the company credit card for the Secretariat Team and responsible for processing relevant payments. Process Team Expenses via Workday for Companies House
* Arrange IT support on behalf of Council members
* AGM – provide support to Secretariat Team
* Diligent administration as and when required
* First point of contact for all Senior Independent Director meetings
* Ability to make decisions and maintain confidentiality
