In this role, you will support the smooth running of the practice by combining reception and administrative duties with clinical record summarising. You will be responsible for accurately updating patient records, while also providing a professional and welcoming service to patients and supporting the wider team.
Main duties of the job
Summarise and accurately code patient medical records onto the clinical system
Review and update patient information to ensure records are complete and up to date
Receive, assist, and direct patients in a courteous and professional manner
Manage incoming calls, booking appointments, and handling enquiries efficiently
Carry out general administrative tasks including filing, scanning, and document management
Liaise with clinical and administrative staff to support the smooth running of the service
Maintain confidentiality and adhere to data protection guidelines at all times
Support the practice team with additional administrative duties as required
Job responsibilities
Clinical Administration (Summarising)
* Review and summarise patient medical records onto the clinical system
* Accurately code relevant clinical information in line with practice protocols
* Ensure patient records are complete, accurate, and up to date
* Process incoming clinical correspondence where appropriate
Reception Duties
* Greet and assist patients in a courteous and professional manner
* Answer incoming telephone calls, dealing with enquiries efficiently
* Book, amend, and cancel appointments in line with practice procedures
* Signpost patients to appropriate services where necessary
General Administration
* Scan, file, and manage documentation in line with practice procedures
* Maintain accurate records and data entry on clinical systems
* Support the practice team with general administrative tasks
* Handle incoming and outgoing post
Confidentiality & Compliance
* Maintain strict confidentiality of patient information at all times
* Comply with Data Protection, GDPR, and practice policies
* Work in accordance with NHS guidelines and practice procedures
Team Working
* Work collaboratively with clinical and non-clinical staff
* Support colleagues and contribute to a positive team environment
* Participate in training and development as required
Other Duties
* Undertake any other duties appropriate to the role as requested by the Practice Manager
Qualifications
* Good standard of general education (GCSEs or equivalent, including English and Maths)
* Basic IT skills
* NVQ Level 2/3 in Business Administration or equivalent
* Training in medical terminology or clinical systems
Experience
* Previous administrative or reception experience
* Experience of working with the public
* Experience working in a GP practice or NHS setting
* Experience of summarising patient records or using clinical systems (e.g. EMIS, SystmOne)
