A motivated professional with excellent interpersonal skills and proposals support experience to work with the Bid Management team in putting forward high-quality submissions within the Hard Services sector of Facilities management from start to finish.
Job Purpose
We have an exciting opportunity for a highly capable individual to help us increase the quality and quantity of bids and to support successful delivery of all tender documentation. This role will require a highly motivated professional with excellent interpersonal and writing skills who will own the bid process from start to finish. This role will suit someone with bid management experience in either Hard Facilities or Mechanical & Electrical services. The successful candidate will either have experience bid management and/or have a number of years' experience in a bid writing position.
Key duties
* Provide support within the Bid Team and Project management from pre-qualification stage through to submission.
* Work within the company Bid Process procedure to support the delivery of high-quality tender materials.
* Collateral development – writing/editing input from stakeholders typically involving contributions from sales, marketing, legal and operations.
* Maintain a good working knowledge of the company business practices and standards to satisfy tender content requirements.
* Be involved in peer reviews to ensure bids are compelling and commercially attractive.
* Lead on complex proposals.
* Introduce and implement proposal procedures and ensure governance of them.
* Deliver compliant, professionally produced proposals within customer-defined timeframes.
* Participate in development and review of proposal strategies and themes.
* Assist in analysing RFP/bid requirements against the proposal outline to ensure compliance and responsiveness.
* Build the proposal compliance matrix and track fulfilment of requirements.
* Review completed storyboards and proposal sections to ensure requirements are addressed and page limits are respected.
* Develop a storyboard review plan for interim reviews and internal evaluation of approaches.
* Conduct regular proposal progress meetings and maintain the proposal schedule.
* Use experience and creativity in tender production to position the company as a quality solutions provider.
* Understand a tender question and assemble a structured answer with technical content aligned to company strategy and values.
* Maintain relationships across the business, including Directors, Business Development Directors and Managers, the Bid Team, Operational managers, and subject matter experts.
* Take ownership of returns to the customer portal and ensure documentation is submitted in the required compliant format by deadlines.
* Manage communications with and responses to bid materials in customer systems for regionally led bids.
* Coordinate with nominated Bid Leads on tender project management and ensure compliance with customer procurement processes.
* Organise work to meet deadlines and re-balance workload to changing priorities; work under pressure to meet tight deadlines.
* Have an excellent working knowledge of the company’s workflows and document production systems (Microsoft Office: Word, PowerPoint, Excel, Outlook).
* Work with the company’s CRM reporting tool.
* Develop a working knowledge of other systems as required.
* Communicate effectively at all levels and work well in a team environment, including engagement with central teams.
* Think creatively to support bids with innovative solutions.
Key Skills And Experience Required
Experience and Knowledge
* Success in writing documentation for bids, tenders, proposals or presentations.
* Experience in bid writing or highly allied experience; facilities management industry experience is advantageous but all industry experience within bid writing will be considered.
* Fluency in spoken and written English is essential.
Skills And Abilities
* Ability to interpret complex documents; proactive with initiative.
* Ability to motivate and work as part of a team and communicate with internal and external teams.
* High-quality, clear and concise writing style; strong interpersonal and communication skills.
* Organised and self-motivated with attention to detail.
* Proficiency in MS Office; ability to work with CRM systems.
