Offer description

Our client is seeking a Senior Project Administrator to support the smooth delivery of passive fire, mechanical and electrical works, including fire alarms and wider life-safety systems. This role is central to coordinating engineers, maintaining compliance documentation, managing digital systems, and ensuring clear communication with clients. The ideal candidate will be organised, proactive, and confident managing a fast-paced workload.

Key Responsibilities
• Plan and manage engineers’ schedules across multiple passive fire, M&E and fire alarm projects
• Allocate resources efficiently across fire protection, remedial and life-safety works
• Produce and update Construction Phase Plans and Programmes of Work
• Track progress against programme and highlight delays or risks
• Maintain accurate, version-controlled project documentation and digital files
• Add remedial work pins to building plans and update compliance records
• Prepare RAMS, O&M manuals and full handover documentation for passive fire and M&E works
• Maintain project contracts, compliance logs and certification files
• Support audit readiness through accurate documentation control
• Act as the primary point of contact for client queries, updates and coordination
• Liaise between clients, engineers (fire, M&E and alarms) and the contracts team
• Use project systems to record progress and upload compliance/evidence data
• Prepare weekly and monthly reports as required
• Provide wider administrative support across the passive fire and M&E divisions

Candidate Requirements
• Administrative experience within construction (essential)
• Experience within passive fire, M&E or fire alarms is highly desirable
• Experience producing or supporting CPPs, Programmes of Work or structured project documentation
• Strong organisational skills with the ability to manage competing priorities
• Confident communicator across passive fire, M&E, fire alarm and client teams
• Able to work independently and use initiative
• Proficient in Microsoft Office and confident with digital platforms
• High attention to detail and commitment to accurate record-keeping
• Experience supporting compliance, QA or certification processes is an advantage
