Reports to: Director of Sales Operations
The Sales Administrator is a critical link in our Hardware and Plug In sales, responsible for the end-to-end lifecycle of customer orders. This role requires a "puzzle-solver" mentality—balancing customer demand with shifting inventory availability. The ideal candidate will act as the primary liaison between our retail partners, the sales field, supply chain and our warehouse, ensuring that our communication and execution remain world-class.
Responsibilities
Order Management & Retail Compliance
* Accurately enter, schedule and process high-volume purchase orders (POs), ensuring strict adherence to specified shipping instructions and incoterms.
* Resolve discrepancies between customer POs and NetSuite records with regards to products and pricing.
Inventory Allocation & Backorder Strategy
* Proactively monitor "In-Stock" vs. "Backordered" status, performing daily reconciliations to ensure logical priority of shipments.
* Collaborate with the Planning and/or Forecasting team to provide feedback on regional demand trends in Europe/UK.
Logistics & Warehouse Liaison
* Proactively schedule releases to the 3PL (Third Party Logistics) using whole order logic/consolidated orders when appropriate.
* Liaise with 3PL when assistance is needed.
* Act as the "voice of the company" for customers regarding order status, tracking, and returns.
* Manage the new customer onboarding process as it relates to Purchase Order acceptance.
* Utilize all specialized pricing strategies within NetSuite.
* Process rebate and price protection requests
* Assist Sales Team in special projects
Qualifications
Technical Proficiency: Advanced knowledge of NetSuite (strongly preferred) or similar Tier 1 ERP/MRP systems. High proficiency in Excel (VLOOKUPs, Pivot Tables) is required for managing large order sets.
Retail Channel Expertise: Understanding of the retail supply chain, including Chargeback Management, Vendor Portals (e.g., Amazon Vendor Central), and EDI workflows.
Communication: Fluent in English (Written/Verbal). Proficiency in German, French, or Spanish is a significant advantage for the European market.
Problem-Solving: Proven ability to navigate "Stock-Out" scenarios with grace, offering customers alternative SKUs or realistic lead-time expectations. Capability to investigate the root cause of issues, correct them and advise mitigation strategies going forward.
Regulatory Knowledge: Familiarity with VAT requirements for cross-border shipments within the EU and between the UK/EU is a plus.
Education & Experience
* Minimum 3–5 years in Sales Operations, Order Management, or Wholesale Distribution.
* Bachelor’s degree in Business, Supply Chain, or related field preferred, or equivalent vocational experience.
