Role Overview
The Service Receptionist is the first point of contact for customers, delivering a professional, welcoming, and efficient front-of-house service. This role ensures the smooth running of the service department by managing bookings, invoicing, technician job allocation, and customer payments, while maintaining excellent customer satisfaction levels.
Key Responsibilities
* Greet and welcome customers in a friendly and professional manner
* Handle incoming calls, respond to enquiries, and direct calls appropriately
* Manage job bookings, schedule service work, and update the diary system
* Allocate work to technicians in line with customer requirements and workshop capacity
* Raise and process invoices accurately and in a timely manner
* Take customer payments (cash, card, or other methods) securely and in line with company policies
* Maintain service records and ensure all documentation is completed accurately
* Handle customer concerns or complaints with professionalism and escalate when required
* Support the service team and assist with general administrative tasks as needed
* Excellent communication and interpersonal skills (verbal and written)
* Strong organisational skills with the ability to multitask and prioritise
* Professional telephone manner
* Attention to detail and accuracy in data entry and invoicing
* Ability to work effectively in a fast-paced, customer-facing environment
* Team player with a proactive approach
Experience & Qualifications
* Previous experience in a customer-facing role (ideally within automotive, hospitality, or service industries)
* Experience handling payments and invoicing preferred
* Competence with Microsoft Office and service management systems (or willingness to learn)
