Job Title: Executive Office Coordinator Service: CEO Office Location: Aldgate, London Reporting to: Head of CEO Office Salary: £17.29/hr Job Type: Contract/Permanent- 39 hrs/week Main Duties and Responsibilities: • To provide support to the CEO and the Head of CEO’s Office to complete required Governance functions as requested. • Preparing, implementing, and disseminating all Directorate and Trustee paperwork and reporting (incl. collating due diligence information, making policy and procedure updates) • Produce and update visual diagrams and project documentation to support Trustee and Directorate reporting. • Provide complex diary support for the Chief Executive and set up meetings and travel arrangements. • To research and provide information / briefings on a variety of matters as requested by the Chief Executive and Head of CEO’s Office • Manage and field incoming emails and calls from internal colleagues, stakeholders, and other external partners. Work with identified people to receive weekly and monthly reporting as required within agreed deadlines. • Liaising with other departments as required to execute agreed tasks. Attend regular meetings to take minutes, maintain action logs and follow up as necessary according to agreed work plans and schedules. • Support with and tracking and maintaining financial documentation of all budget and invoice administration, including expenses and other billing information. • Maintain all confidential HR documentation / systems in relation to the CEO’s direct reports (incl. time recording, sickness records and other confidential matters) • Support the Head of CEO’s Office with the processing of ad hoc requests and resolving any queries raised. • Deliver all tasks within their own delivery plan to achieve agreed performance. • Coordinate flow of information among the senior leadership team, other departments (and external organisations) as needed Role And Responsiblities: 1. To work closely with the Executive Director of Development, the Executive Director of Services and the Operational Directors in service and financial modelling and setting the vision for new business opportunities – across local authority, health and other grant funding. 2. To ensure that Hestia meets the net new business and retention targets within its strategic plan by: • Setting the annual business development strategy and plan •Overseeing all business development activity including: • Identifying and responding to business development opportunities • The preparation and timely submission of high-quality tenders, bids and proposals in conjunction with relevant colleagues • Ensuring all bids are risk assessed and appropriate actions are taken to mitigate risks, for example around inflation, TUPE or pension costs • Development of new services and products including delivery against the Health Strategy securing NHS funding (MH Trusts and ICBs) • Cultivating partnerships and partnership models for tenders and service delivery • Building and maintaining relationships with key stakeholders including commissioners and landlord • Agreeing budgets and service models for new and remodelled operational services with the Finance Team. 3.
