Building Assistant
Contract: Permanent | Full Time | 40 hours | Salary: £23,000 - £27,500 per annum

Role Purpose
The Building Assistant supports the smooth and safe operation of the office environment by assisting with facilities coordination, room setups, security checks, contractor access, and compliance logging. The role focuses on operational support, safety, logistics, and customer service without performing cleaning or repair work.
Key Responsibilities
* Provide administrative support across a variety of tasks and systems.
* Act as a central contact for the team, managing calls and communications.
* Raise purchase orders and manage tasks within the CAFM system.
* Support monthly reporting and maintain shared drive documentation.
* Coordinate waste service bookings, fleet car servicing, and PPE/uniform/stationery orders.
* Conduct routine visual checks of office areas and report building issues.
* Monitor meeting rooms, communal spaces, and kitchen areas to ensure they remain presentable and functional.
* Support office moves, furniture rearrangement, and workspace reconfiguration (without carrying out repairs).
* Carry out weekly fire alarm testing and assist with periodic emergency lighting checks.
* Ensure escape routes remain clear and compliant.
* Place safety signage (e.g., “Wet Floor”, “Restricted Area”) where required.
* Report any observed hazards or unsafe conditions.
* Assist with unlocking and locking the office; conduct basic security checks.
* Support reception with visitor access control and escort contractors or engineers around restricted or secure areas.
* Set up meeting rooms, including furniture arrangement and equipment placement.
* Assist with parcel handling, mail delivery coordination, and stock movement.
* Monitor consumables and report when replenishment is needed.
* Escort contractors carrying out maintenance or statutory inspections.
* Update logbooks, meter readings, and compliance documentation.
* Help prepare spaces for planned preventive maintenance activities.
* Respond to general office requests and support internal events.
* Provide assistance to staff, visitors, and contractors in a professional manner.
* Carry out Site Inductions.
* Allocate car parking spaces.
* Provide incident control.
Skills & Attributes
* Strong organisational and communication skills.
* Awareness of health & safety principles.
* Ability to work proactively and independently.
* Good customer service skills.
* Physically capable of moving and setting up furniture/equipment.
Qualifications
* Experience in facilities, building operations, or office support roles.
* Basic health & safety awareness (e.g., Fire Warden or First Aid desirable).
