Overview
The call handler will be based at Castle Donington to operate a 24/7 call handling service. The post holder will be based in the office alongside the clinical team and will work closely with medics, nurses, administrators and other team members. They will take initial referral calls from doctors and nurses within the region, and nationally in terms of surge, and will assist the team with administrative support to transfer patients safely.
Responsibilities
* Use the high-tech switchboard console efficiently and with confidence to answer emergency calls from the NHS multidisciplinary team and to conference in required team members in a timely manner.
* Accurately record emergency telephone referrals for critically ill babies, children and adults through a high-tech switchboard.
* Enter patient information and referral data onto multiple systems used by services for CoMET, CenTre and ECMO databases; transfer information succinctly and efficiently.
* Maintain up-to-date contact information for team members to ensure smooth, professional communication at all times.
* Coordinate conference calls to ensure clear and concise communication throughout the transport process.
* Speak confidently to all members of the multidisciplinary team and pass information succinctly and efficiently.
* Develop and maintain collaboration with other services (e.g., transport teams and hospitals) to update records of ICU beds, cot availability and delivery suite closures as required, including mutual aid from regional teams.
* Update bedstate with the appropriate operational delivery network.
* Track the transport team’s current position and journey progress to ensure smooth communication and timely updates.
* Ensure the Team Leader is informed of service issues, delays or interruptions in service continuity, including staffing issues, and report them to the management team as required.
* Provide other office or administrative duties as necessary, including cover and tasks related to recording for clinical staff in relation to complaints or investigations.
* Assist the team leader in producing activity, audit and outreach reports; ensure documentation is scanned to the database and hospital systems; check and update relevant forms daily; photocopy, prepare and distribute referral information, maintaining confidentiality.
* Refer cases onto the cleric database used by SJA so transfers can be allocated to SJA crews promptly and transfer teams mobilised as soon as possible; monitor transport teams’ location and progress.
* Attend service team meetings monthly.
Patient/Customer Service
* Maintain confidence to speak to all members of the MDT and pass information succinctly and efficiently.
* Maintain close collaborations with other services to update records and coordinate mutual aid from other regional teams.
* Update bedstate with the appropriate operational delivery network and maintain professional communication at all times.
