Location: Stratford, London Office-based with high flexibility (1-2 days per week in the office) with national travel approximately 4 times per year

Overview
We’re looking for an experienced and highly organised Personal Assistant to join the Marketing, Fundraising and Events directorate. You will support two Directors: the Director of Trading and the Director of Innovation.
The Director of Trading leads a busy department comprising the national trading estate (approximately 550 shops), including retail operations, distribution and logistics, buying and Ecommerce. The Director of Innovation is building a new innovation function, with significant recruitment and administrative support required over the next 18 months. You will ensure diary management, travel arrangements and other administration duties are carried out efficiently for both directors.
To thrive in the role, you will have solid experience supporting two or more Directors and be comfortable in changing environments. You’ll be proactive with the ability to manage multiple tasks and you’ll work well with different personalities and at varying paces.
Responsibilities
* Proactively manage complex schedules and diaries, update and communicate changes, adapt to change with a positive attitude
* Manage the Directors’ inboxes, take actions as appropriate, and implement a flagging system to prioritise workloads
* Collate related paperwork for meetings, including briefing notes, agendas and minutes
* Support in the set up and running of ideation sessions for the Director of Innovation
* Organise complex itineraries, travel schedules, meetings, conferences and external engagements
* Handle logistical tasks including payment of invoices and general administrative work
* Collaborate with the PA/Administrative team to keep the directorate informed and support coverage as required
Qualifications
* Experience providing high‑level support to two or more Directors
* Experience in diary management, travel management, document preparation (PowerPoint, agendas, correspondence) and minute taking
* Confident with Microsoft packages (OneNote, Excel, Teams, Copilot)
* Excellent communication skills and ability to build relationships at all levels
* Proactive and self-motivated with excellent planning and organisational abilities
* Strong prioritisation and time management with flexibility for ad hoc projects
* Ability to maintain confidentiality and use discretion
* Ability to identify others’ needs and manage expectations
