Title: Office Manager

Department: People & Culture

Location: Glasgow, UK (Head Office)


The Office Manager is responsible for the operational delivery of a well-organised, efficient, and compliant office environment. This role ensures that all office administration, facilities, and workplace services are effectively managed to support business operations and employee experience. Acting as the central coordination point for office-related activities, the Office Manager implements processes, manages vendors, controls budgets, and ensures a safe, functional, and engaging workplace aligned with company standards.


Role Responsibilities

Office Administration & Operations

* Oversee the day-to-day running of the office environment
* Manage office supplies, inventory, and equipment
* Maintain records, databases, and filing systems
* Develop and enforce office policies and procedures
* Manage correspondence, deliveries, and communications


Facilities & Maintenance

* Liaise with building management and vendors
* Coordinate maintenance and repair activities
* Ensure office cleanliness and upkeep
* Oversee workplace health and safety compliance


Budgeting & Financial Administration

* Support office budget planning and tracking
* Process invoices, purchase orders, and expenses
* Monitor spend and ensure cost efficiency


Staff Support & Coordination

* Provide administrative support across the business
* Act as first point of contact for office-related queries
* Support onboarding of new employees
* Drive workplace experience and engagement initiatives


Communication & Coordination

* Support company events and meetings
* Manage visitor processes
* Maintain office calendar and scheduling


What we're looking for

* Ideally would have a minimum 2-3 years experience managing a busy office
* Strong organisational and operational management skills
* Excellent stakeholder coordination and communication
* Financial awareness and budget management
* Problem-solving and decision-making ability
* Attention to detail and process discipline
* Ability to manage multiple priorities effectively
