Overview
Guest Services role at Mitie - Signature. Hours: 24 hours a week, Monday to Wednesday 7.45am – 16.15pm. Reporting to: Guest Services Manager.
Responsibilities
* Reception Desk Management: Greet visitors, answer and direct calls, manage the reception area, provide site safety briefings, assist with client events, complete online Fire Warden Training and support during evacuations, perform weekly stock checks and order stationary, train new team members, ensure health and safety posters/leaflets are up to date, maintain health and safety folders, report faults or safety concerns, collaborate with receptionists, WPM, Security, FM and admin staff for smooth operations.
* Security Awareness: Monitor and control access, verify visitor credentials and issue badges, remain vigilant and report concerns.
* Customer Service Excellence: Provide personalised assistance, give accurate information about the company and facilities, handle inquiries and resolve issues promptly and professionally.
* Administrative Support: Sort mail, manage courier deliveries, book meeting rooms, respond to the Reception Inbox, manage daily parcel deliveries, manage visitor figures, internal audits, staff passes, maintain front of house QHSE folder, keep filing systems up to date, support other departments with admin duties.
* Uniform Standards: Adhere to uniform guidelines and maintain a neat, professional appearance; serve as an ambassador for the organization.
* Front of House Coordinator duties (if applicable): Fire alarm testing, kitchen checks, meeting room stock and cleanliness, room checks, printer maintenance, weekly fire extinguisher and First Aid box checks, floor walks and maintenance reporting, stationaries and confidential bins management, building inductions, weekly checks of fire doors.
* Company Policy & Training: Read and sign site SOP & Uniform standards; follow Absence Management; complete mandatory training.
Qualifications and Skills
* Experience: 2 years' customer service experience in reception/switchboard/room booking is beneficial but not required; training provided. Qualified First Aider preferred.
* Skills: Strong written and verbal communication, proficient with MS Outlook/Word/Excel/PowerPoint, ability to interact with all levels, excellent organization and multitasking, ability to remain composed in fast-paced situations.
* Education: 2 years reception/administration experience beneficial; A Level or equivalent.
