About the role
We are seeking a highly organised and proactive Executive Assistant to support our directors and a dynamic team of Interior Designers and Design Managers within our London studio. This role also supports our Quality Assurance and Health & Safety teams.
The primary focus of this role is to provide seamless administrative support to designated Principals, Directors, and their teams, enabling the smooth running of day-to-day business activities. The successful candidate will play a pivotal role in coordinating meetings, managing diaries, arranging domestic and international travel, and supporting the administration of a diverse portfolio of national and international projects.
In collaboration with Studio Directors and BDP London’s Marketing team, you will also help maintain project and personnel databases to ensure relevant experience is accurately reflected in bids. You will assist in preparing high-quality project reports, submissions, and presentations, often to tight deadlines.
Key Responsibilities (including but not limited to)
· Ensure compliance with BDP’s project administration processes.
· Manage diaries and schedule meetings, including room bookings and refreshments via Cloudbooking, and issuing invites through Outlook.
· Coordinate travel arrangements through our travel provider, including flights, trains, car hire, accommodation, visas, and currency.
· Support the preparation and distribution of business and project documentation (e.g. reports, meeting minutes).
· Organise team development reviews, expense submissions, and social events.

About you
We’re looking for someone with experience as an Executive Assistant, Office Administrator, or in a similar role. More importantly, you’ll be:
· Exceptionally organised, self-motivated, and professional.
· A strong communicator with excellent written and spoken English.
· Detail-oriented with a collaborative, team-focused mindset.
· Proficient in Microsoft Office; familiarity with Adobe InDesign is a plus.
· Experience in a design, construction, or creative environment would be advantageous.
