The role
This is a new role, working directly alongside the Founder.
Part EA, part operations. You'll own the Founder's time and day-to-day organisation, but you'll also be embedded across the business. That means attending client meetings, sitting in on internal conversations and being a consistent presence in what we do.
You'll be in the room with clients like adidas and TNT Sports. You'll know what's been agreed, what needs to happen next, and you'll make sure it does.
This isn't a role where you wait to be told what to do. You use your judgement, take initiative and help the Founder get things over the line.
What you'll be responsible for
Diary and Time Management
* Manage the Founder's diary across work and personal commitments
* Protect focus time and be selective about what makes it onto the diary
* Plan around travel and client commitments
* Spot clashes before they become a problem
* Keep the Founder on time and prepared for what's next throughout the day
* Attend internal and client meetings, capture notes and actions, and chase follow-through until things are closed
Inbox and Communications
* Start and end each day with a brief for the Founder: what's happening, what needs attention and when
* Review emails daily and action straightforward matters
* Draft responses that don't need the Founder's input
* Follow up on outstanding threads
* Maintain a clear picture of where things stand across active projects and flag anything that needs attention
Travel and Logistics
* Book travel that reflects preferences and works in practice
* Prepare clear itineraries
* Keep travel expenses organised
* Assist in the research and booking of venues, suppliers and vendors
Business and Team Admin
* Keep shared drives, documentation and templates in order
* Manage staff admin including holidays, expenses and company credit cards
* Reconcile expenses
* Manage subscriptions and software accounts
How we work
This role is hybrid. When the Founder is in the Liverpool office, which is typically two to three days a week, we'd expect you to be there too. Otherwise you'll work from home.
The day doesn't run 9 to 5. Support is needed at key moments rather than fixed hours, which might mean being available before an early departure, managing changes ahead of a late return, or being on location. Quieter periods balance that out. Total hours stay consistent, the day just flexes around what actually matters.
We'll be clear about expectations from the start so there are no surprises either way.
What we are looking for
You've worked in a role where staying organised, thinking ahead and keeping things moving really mattered.
You follow things through without being chased. You're comfortable in client-facing situations and you know how to represent a business well. When plans shift, you stay steady. You apply judgement before asking questions.
We're a small team. Energy matters here as much as ability. The right person will fit in naturally, take pride in what they do and bring good energy every day.
Experience in a creative, sports or agency environment is helpful, but how you work day to day matters more.
