Job Title IT Manager Reporting of the role This role reports to the Operations Director Overview of the job We're bringing our IT operations in-house and looking for someone to own IT across our global team. You'll transition services from an outsourced provider, becoming the IT expert for our employees across EMEA and North America. This is a hands-on role focused on keeping everything running smoothly - managing systems, solving problems and ensuring our team has the tech they need to do great work. You'll have real ownership, direct access to leadership and the autonomy to build IT infrastructure, as we continue to scale toward 200 employees. 3 best things about the job Real ownership and impact - You'll be the trusted IT expert with genuine autonomy to make decisions that affect how people work every day. Take over and improve - You're inheriting IT from an external provider, which means you can fix what's not working, implement better processes and do things the right way from day one. Direct access to leadership - You report to the Operations Director and work with our regional Presidents in EMEA and North America. Your voice matters and you'll influence technology decisions at a strategic level. Measures of success – In the first few months, you would have: Seamlessly transitioned from outsourced provider - completed structured handover, taken ownership of all systems and established yourself as the trusted go-to IT person across our offices with zero disruption to the team. Built strong relationships - team members know you, trust you and feel supported. You've turned IT from ‘that company we email’ into ‘our IT person who actually gets us and makes things work’. Improved support experience - people receive help quickly when they need it, recurring issues are being proactively solved and the team feels well-supported. People notice IT is better than it was before. Strengthened security posture - successfully deployed antivirus across all devices, established Google Workspace backup for all accounts and completed the first round of phishing simulations and cyber awareness training. Delivered quick wins - identified and implemented improvements (automation, better processes, tools) that make life easier for the team. Roles & Responsibilities: Provide IT support both remotely and in-person, primarily during UK business hours. Maintain quick response times for critical issues and be available after-hours when genuinely urgent problems arise. Work flexibly to support our NA team through overlap hours, smart triage and async communication. Troubleshoot hardware and software issues including computers, tablets, mobile phones, meeting room AV equipment, Google Workspace, Microsoft Office, Adobe Creative Suite, Slack, Monday.com, Teamtailor and network connectivity. Manage devices and systems using MDM platforms (Addigy for Mac, device management for Windows) including proactive monitoring, OS updates and working with our device onboarding/offboarding partner to ensure smooth setup and retrieval. Own user account management - create accounts for new starters, manage email groups and file permissions, deactivate accounts for leavers, ensure proper access controls. Maintain security and compliance - manage Next-Gen Antivirus deployment, configure Google Workspace backup for all accounts, schedule cyber awareness training, run phishing simulations, ensure UK GDPR compliance, conduct regular license audits to prevent cost leakage. Administer business-critical systems including Google Workspace, Slack, Asana, TeamTailor, SSO, MFA, identity management and access controls. Evaluate and recommend new tools that improve efficiency. Plan IT strategy and provide visibility - conduct quarterly reviews with leadership on performance, security, infrastructure health and roadmap. Provide regular reporting on IT spend, license usage and optimisation opportunities. Manage IT budget and vendors - optimise software licensing costs, conduct regular audits to identify waste, negotiate contracts, coordinate with freelance support for in-office hardware issues when needed. Continuously build and optimise processes - drive the ability for teams to self-serve wherever possible by automating user requests, and build a 'security-first' environment with proactive threat monitoring and emergency isolation protocols. What you will need: 5 years in IT operations, helpdesk management or IT support with progression from hands-on support to managing infrastructure. You can work independently, prioritise effectively and make smart decisions without constant oversight. Strong Mac experience and solid Windows skills - comfortable supporting both Mac and Windows users across the agency. Google Workspace administration and MDM platform experience (Addigy, Jamf, Kandji, Intune) - experience in managing users, groups, security and can troubleshoot effectively. Practical flexibility - based in our London (Soho) office most days but you're flexible and responsive when genuine emergencies come up outside normal hours. You understand that in a global agency, occasionally critical issues need immediate attention and you're the person who steps up. License management and cost control - experience in conducting audits, identifying waste and implementing processes to prevent cost leakage from orphaned accounts or unused licenses. Security awareness and compliance fundamentals - understanding of antivirus management, backups, phishing training, UK GDPR basics and naturally think about risks. Service-oriented mindset with empathy - warm, friendly, patient and make people feel supported. You're calm during tech crises and understand IT exists to help people do great work. Strong communication skills - ability to explain technical problems in plain English, write documentation people actually want to read and build trust across the organisation. Creative agency experience is desirable - bonus points if you've supported Adobe Creative Suite, transitioned IT from outsourced to in-house and/or worked through growth phases.
