Role overview:
The Operations Administrator serves as the operational backbone of the organisation, seamlessly connecting high-level strategy with daily execution. Working at the core of the Operations team, you will provide critical support to the Director of Operations and broader departments. This role is essential for driving organisational efficiency through proactive administrative management and cross-functional coordination.
Responsibilities
* Administrative : Manage operations administrative duties, answer phones, respond to emails, and manage mail both internal and external; supports Operations team with meetings planning and coordination, notes taker among other task identified by the Director of Operations. Organise travel as accommodations as needed for Operations events.
* Operational Support: Support senior leadership with facilities management, equipment maintenance, and ensuring compliance with health and safety standards
* Special Projects: Support the coordination of special projects working closely with Director of Operations
* Data management: Perform data entry and maintain electronic and paper records as per guidance from Director of Operations
* Material requests: Support with ad hoc material requests and assist with financial record-keeping for Operations Team
* Coordination: Schedule meetings, coordinate ad hoc and special deliveries, and manage calendars.
* Communication: Serve as a first point of contact for staff and customers, liaising with suppliers, and handling customer inquiries.
* Reporting: Supports Operations team with report and data presentation for contractual; requirements
Skills & Experience
* Strong analytical & organisational skills
* Highly proficient with MS office (Word, Excel, PowerPoint, outlook, Power BI)
* Excellent communication skills both verbal and written
* Team player and with a proactive and co creation mindset
* Resilient and able to multi-task.
* Attention to detail
* Have an approachable and friendly manner
* Experience in managing small projects is preferable
