Reports to: Office Manager

Location: Central London Head Office

Work pattern: On-site role Monday - Friday, 11am-7pm

Purpose:

To manage front of house to the highest standards. Ensuring that visitors and staff members are given the best possible welcome and assistance as required.


Responsibilities:

* Greet all clients and visitors to the premises in person, ensuring the best possible welcome; seat them and offer refreshments.
* Maintain all meeting rooms to an exceptional standard at all times, ensuring they are clean, organised, and presentation-ready.
* Manage all incoming calls, handling enquiries efficiently and taking accurate messages where required.
* Coordinate and manage meeting room bookings, liaising with stakeholders to resolve scheduling conflicts and arrange suitable alternatives where necessary.
* Maintain floral arrangements across all front-of-house and meeting spaces in line with company standards.
* Oversee all incoming deliveries, ensuring they are received, logged, and distributed promptly and accurately.
* Manage incoming and outgoing post, including booking couriers as required.
* Open and/or securely close the premises in line with the assigned shift pattern, adhering to all security procedures.
* Maintain office security - Vigilantly monitor the entry of all clients, guests and couriers.
* Perform administrative and office maintenance duties as directed by the Office Manager
* Support the planning and delivery of office-based events, working closely with the Office Manager to ensure smooth execution; occasional flexibility in working hours may be required.
* Conduct regular checks of kitchen and bathroom facilities, ensuring cleanliness is maintained and supplies are replenished proactively.
* Share key business updates via the internal noticeboard, ensuring communications are presented clearly, remain current, and are effectively conveyed to all staff.
* Provide reliable cover for Front of House during periods of team absence, ensuring continuity of operations.
* Task are not limited to the above, action any other tasks as requested.


Skills and Experience Required:

* Experience in an Administrative role, preferably in the luxury industry.
* Demonstrate evidence of excellent customer service.
* Communication: Strong and effective presentation skills and ability to converse with a diverse range of people at all levels.
* Attention to detail.
* Proficient with MS Office.
* Excellent organisational skills.
* Accuracy: High level of accuracy required in all tasks.
* Strong problem-solving skills with solution-based mindset. Ability to prioritise tasks and ensure delivery of results within tight deadlines.
* Knowledge of network connectivity, protocols, network security devices, network types, including wireless, and common operating systems (Windows and Mac).
