About the Role
We are seeking a highly organised, proactive, and detail-orientedTeam Assistantto support our Consultants and Researchers within our London headquarters. This role is essential to the smooth running of the team, providing administrative, logistical, and coordination support across multiple international searches and internal initiatives.
Key Responsibilities
Administrative Support
Provide comprehensive administrative assistance to Consultants and Researchers. Manage complex diaries, international travel, and meeting coordination across time zones. Prepare, proofread, and format documents such as proposals, candidate reports, presentations, and research materials. Maintain accurate and up-to-date CRM/database records.
Search Process Support
Coordinate candidate interviews, feedback loops, and briefing materials. Assist with research tasks including preparing market maps, compiling longlists, and supporting search strategy documentation. Track progress across multiple live searches and ensure timely delivery of key milestones.
Client & Candidate Coordination
Serve as a polished and professional point of contact for clients and senior-level candidates. Support Consultants with client meeting preparation, follow-ups, and deliverables. Uphold strict confidentiality when handling sensitive information.
Operational Support
Assist with general office management tasks such as supplies, room bookings, and liaison with external vendors. Contribute to team initiatives including internal communications, events, and process improvement. Provide ad-hoc support to the wider team as needed.
Skills & Experience Required
Previous experience in a Team Assistant, Administrative Assistant, or Coordinator role (executive search, recruitment, or professional services experience desirable). Outstanding organisational skills and ability to manage multiple priorities with accuracy. Strong communication skills with a polished, professional demeanour. High level of detail orientation and strong document formatting abilities (PowerPoint, Word, Excel). Comfortable with CRM systems and handling confidential information. Proactive, adaptable, and collaborative team player.
