To provide an effective administrative service, ensuring the smooth and efficient operation of the Critical Care Units, including minute-taking duties.
To be flexible with workload, prioritize tasks to meet deadlines, and ensure data accuracy and timely input, including patient information on EPIC Apollo, allocation book, and patient bed board. Regular quality checks are required to maintain accuracy.
To liaise with multidisciplinary teams, internal and external agencies to promote continuity and excellence in patient care.
To create posters and signs, coordinating with other departments to ensure professional, accurate, and laminated signage for infection control.
To rotate between Critical Care Units as needed and cover colleagues for annual leave, sickness, etc., as directed by the Team Leader.
To report, chase, and record Estates jobs on the Estates tracker, noting any updates.
Main duties of the job
To act as the first point of contact for patients, relatives, and visitors, greeting and directing them appropriately.
To answer telephone enquiries professionally and sensitively, directing calls to the relevant staff.
To sort and redirect mail daily.
Using the Oracle ordering system, to order stationery, check deliveries, manage issues, and perform stock level checks to ensure efficiency and value for money.
To assist distressed and bereaved relatives by providing facilities such as telephone contact, acting professionally, sympathetically, and caring at all times.
To provide sickness certificates and letters for patients as requested by nursing staff.
Each morning, to ensure all admissions and discharges are entered into Epic Apollo, Bed Board, and the Allocation Book, verifying patient demographic details, obtaining patient notes on admission, tracking on discharge, and ensuring notes are scanned onto Epic when required.
