PARISH ADMINISTRATOR JOB DESCRIPTION
Hours: 12 hours per week over three days (flexible)
Salary: £13.85 per hour
Employer: The Parochial Church Council (PCC) of All Saints Church
Accountable to: The PCC
Responsible to: The Incumbent (Vicar)
Purpose of Role:
The Parish Administrator will be responsible for the smooth running of a busy church office. This will include dealing with enquiries, setting up and maintaining of various administrative systems, such as record keeping and data management and to facilitate and co-ordinate the Church's activities and resources.
The role is key to the church's relationship with the wider community and the smooth running of pastoral services so that the ministry of God's mission may be advanced.
Main Responsibilities:
· Act as a first point of contact and welcome for visitors to the church
· Deal with enquiries by phone, post, email and in person.
· Manage the day to day running of the church office, ordering supplies and stationery as required.
· Provide administrative support to the Vicar, Churchwardens, PCC Secretary and Church Officers, as appropriate.
· Assist individuals enquiring about Baptism, Marriage, Funeral, Burial of Ashes and other occasional offices with pastoral sensitivity whilst ensuring correct legal process is followed.
· Liaise with internal and external collaborators e.g. Organists, Vergers, Funeral Directors.
· Ensure the efficient production and distribution of parish correspondence including: the parish magazine; weekly notice sheet; posters for noticeboards; annual APCM preparatory documents and reports; congregational directory.
· Maintain records and confidentiality in accordance with GDPR procedures, including:
a. the management of an ordered filing system both paper and electronic of all church documents, including PCC reports and minutes;
b. Safeguarding documentation;
c. policies and risk assessments;
d. submission of the annual Statistics for Mission figures
e. Church database [BOX presently].
· Ensure effective communications:
a. with the team to ensure smooth running of the church and hall diaries;
b. Incumbent.
· Drawing up of Hall User Contracts annually.
· Manage occasional bookings; booking forms; invoicing; deposits.
· Liaise with Caretaker on booking dates and times and with Treasurer for payments.
· Ensure the church office and church are kept tidy.
· Maintain appropriate levels of confidentiality.
· Be sensitive to situations and act accordingly.
· Show initiative and be pro-active in improving administration and communication within the church.
· Demonstrate patience and compassion for others.
SKILLS and EXPERIENCE
Essential
-Excellent communication, interpersonal and organisation skills - Proficient IT skills :Microsoft Office 365 - Demonstrate good telephone manner and excellent customer service - Able to work within a small team and as a team player -Able to work on own initiative, under pressure to tight deadlines, exercise sound judgement and discretion with confidential matter - High degree of accuracy and attention to detail - Interpersonal skills
Desirable
* Experience or knowledge of basic bookkeeping - Be fully supportive of the work and mission of All Saints Church, Belvedere and sympathetic to the Christian ethos of the work of the Church - Experience with social media publicity (Facebook) and website management - A knowledge of Church of England processes and procedures would be an advantage - Flexibility to work out of normal office hours occasionally - Experience of dealing with sensitive situations
The Church takes the safety of everyone within the church very seriously and expects that everyone will work within the church safeguarding policy. Successful candidate will be required to undergo a standard DBS check.
