This is a part time job for 2 days per week leading to full time.
Main purpose
The receptionist/administrative assistant will be responsible for running the reception area of the school and performing general administrative duties. We are seeking a highly organised and detail-oriented administrator with reception experience to join our team. The ideal candidate will assist the headteacher and school administrator in ensuring the smooth operation of the reception performing a variety of administrative tasks. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently. They will also, when necessary, act as a first point of contact for parents/carers, visitors and other stakeholders, so will be an ambassador for the school and embody the value, vision and ethos of the school in all interactions.
Duties and responsibilities
General administration
· Liaise, usually via email, with the School Administrator to ensure a seamless transition of information on a daily need to know basis.
· Update manual and computerised record/information systems as required.
· Organise and distribute incoming and outgoing post, including utilising the Post Office when required.
· Provide administrative support to staff as needed.
· Carry out filing, printing and photocopying.
· Assist when necessary with organising parents' evenings, governing body meetings and other meetings and events, including the organisation of rooms and equipment, and providing refreshments as required.
· Keep records in accordance with the school's record retention schedule and data protection law, ensuring information security and confidentiality at all times.
· Answering and directing of phone calls as required with professionalism and courtesy, demonstrating excellent phone etiquette.
· Writing and sending of email responses that are professional and uphold the school's vision and values.
· Maintain an organised filing system for both physical and digital documents.
· Perform data entry tasks accurately and in a timely manner.
· Assist in the preparation of reports and presentations using Google Suite, Microsoft Office applications.
· Handle clerical duties such as scheduling meetings, taking minutes, and coordinating travel arrangements as and when required.
· Collaborate with team members to enhance office efficiency and productivity.
· Maintain a stock of school stationery requirements, ordering as and when required.
Reception
· Act as the first point of contact for parents/carers and visitors arriving at the school.
· Ensure the reception area is kept tidy and welcoming.
· Deal with telephone and face-to-face enquiries efficiently and in a professional and supportive manner.
· Seek support from other colleagues where necessary to respond to complex enquiries.
· Respond to messages promptly and accurately, passing on information to relevant staff members as necessary.
· Assist staff and students with the information and support they need.
· Organise the school's walkie-talkies and student laptops, ensuring they are charged and distributed as and when required.
Safeguarding
· Control access to the school in line with the school's safeguarding procedures, including signing in visitors, checking identification as necessary, issuing passes and notifying them of safeguarding and safety procedures.
· Be alert to unknown individuals on the school premises and report any concerns in line with the school's procedures.
Other areas of responsibility
· Read and follow the relevant school policies.
· Undertake training required to develop in the role.
· Ensure all duties and responsibilities are undertaken in line with the school's health and safety policy.
Contribute to the safety of children and young people and protect them from harm.
