Join to apply for the Group Coordinator role at Buro Happold. We are recruiting across the Built Environment for Buro Happold in the UK. The Group Coordinator provides support to the Engineering team, helping with day-to-day tasks and project deliverables, liaising with other areas of the business to ensure correct business processes are followed within the Support and Engineering teams.
The role suits an organised, resilient, and detail-oriented person with experience in an administrative role. Experience supporting a team and on a one-to-one basis, and proficiency with various platforms for information production and storage, is desirable.
Responsibilities
* Group Coordination: Manage allocation of IT hardware and software, ensuring IT requirements are notified to IT support; liaise with central business services when required; assist with bid submissions and preparing CVs and project sheets; type, format, review and modify correspondence and documents following Brand guidelines; prompt Engineers to complete weekly timesheets; create team presentations for office communications and team meetings; coordinate multidiscipline reports, highlight deadlines and template usage; attend initial meetings with key collaborators to identify template needs; arrange, attend, and take minutes for internal group and client meetings; arrange discipline team away days/events and CPDs; manage travel arrangements using an online platform and liaise with the Travel Management Company; support onboarding of new starters with Welcome Coordinators; coordinate Career Path Objective meetings twice a year; update and maintain Magellan SharePoint pages; perform general ad-hoc admin duties.
* Group Leader Assistance: Submit Group Leader expenses to Finance.
* Learning & Development: Train Engineers in company systems/processes/Buro Happold templates; support self-learning and development.
* Systems: Ensure adherence to the administration side of the QMS; ensure common systems and templates are set up and communicate issues to IT Support.

* Excellent computer and IT skills including Word, Excel, PowerPoint, SharePoint and Teams
* Experience setting up and maintaining administrative procedures
* Experience maintaining quality management systems
* Good communication skills
* Confident, proactive, with the ability to lead in challenging situations and problem solve
* Adaptable and open to change
* High attention to detail
* Experience working with all levels of seniority
Experience
* Knowledge of InDesign, Photoshop and Illustrator desirable (training provided)
* Solid foundation of office experience; ability to work to multiple deadlines; experience supporting large teams across offices; experience supporting a team and also one-to-one work
