About us

The RNLI is a charity with the purpose to save lives at sea, with a vision to save every one. The RNLI provides a 24-hour lifeboat search and rescue service, lifeguards, fundraising, and drowning prevention. Our frontline lifesavers and fundraisers need a dedicated, professional and talented team behind them, and that is where you come in.

We’re looking for a proactive Administrator to join our RNLI Safety Team — someone who thrives on organising, precision and teamwork, and who will help us to support the management of safety to ensure all activities involved in saving lives at sea are safer for the future.

Key Responsibilities

In this role, you’ll be part of the backbone of our team, with a strong focus on supporting with policy documentation and the assurance checks that confirm that processes and controls are effective, compliant, and continuously improving. This will include:

3. Collating updates from assurance activities and ensuring trackers, systems, and policy records are maintained.
4. Supporting the creation, formatting, and distribution of safety documents, reports, and policies — ensuring clarity, consistency, and compliance.
5. Providing accurate information for regular SHE (Safety, Health & Environment) reporting to the Executive Team and Trustees.
6. Coordinating meetings and events, including travel, logistics, and professional documentation packs.
7. Attending meetings, capturing key points, and producing polished notes that feed into policy and decision-making.
8. Handling sensitive and confidential data with integrity, ensuring compliance with Data Protection requirements.
9. Using systems and processes to strengthen the organisation’s safety management system — and suggesting improvements where needed.

About You

You’re organised, flexible, and confident under pressure. You will be able to prioritise using your own initiative and hold a firm understanding of the requirements when working in confidential and sensitive environments. You'll enjoy working with people at all levels and take pride in producing documents that are clear, professional, and impactful. To succeed in this role, you’ll bring:

Essential:

10. Demonstrable experience providing administrative support in a busy office environment.
11. Experience supporting senior managers and formatting reports or policy documents.
12. Strong working knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)

Desirable:

13. Familiarity with Microsoft Project and Visio.

Your Role:

This isn’t just administration — it’s about shaping how safety policy is communicated and ensuring our documentation reflects the importance of protecting people and processes. You’ll gain exposure to senior leadership, contribute to meaningful safety initiatives, and develop your career in a supportive environment.

If you have excellent interpersonal and administrative skills, and a talent for formatting documents that make safety policy clear and actionable, we’d love to hear from you. Apply today and help us build a safer tomorrow!
