Position Overview

* We are seeking a highly organized and detail-oriented Procurement Assistant to support day-to-day procurement activities in a fully remote UK-based role.
* This position plays a key role in ensuring efficient purchasing operations, accurate documentation, supplier coordination, and compliance with procurement policies.
* The ideal candidate has strong administrative and analytical skills, experience with procurement systems, and the ability to collaborate effectively with internal stakeholders and external suppliers in a virtual environment.


Key Responsibilities

1. Purchase Order & Transaction Support

* Assist in the creation, processing, and tracking of purchase orders (POs).
* Ensure accuracy of pricing, quantities, delivery dates, and supplier details.
* Monitor order status and follow up with suppliers to ensure timely delivery.

2. Supplier & Vendor Coordination

* Act as a point of contact for suppliers regarding order confirmations, delivery schedules, and queries.
* Maintain accurate supplier records and documentation.
* Support supplier onboarding and compliance checks.

3. Procurement Administration

* Maintain procurement documentation, contracts, and records in line with company policies.
* Support tendering processes including RFQs, RFPs, and supplier comparisons.
* Assist with contract administration and renewals.

4. Data Management & Reporting

* Update procurement systems and spreadsheets with purchasing data.
* Prepare basic procurement reports on spend, savings, and supplier performance.
* Support spend analysis and cost tracking activities.

5. Compliance & Process Adherence

* Ensure procurement activities comply with internal policies and UK procurement regulations where applicable.
* Support audit requests and ensure documentation is audit-ready.
* Follow ethical procurement and sustainability guidelines.

6. Cross-Functional Collaboration

* Work closely with Finance, Operations, and other departments to support purchasing needs.
* Resolve purchase order, invoice, or delivery discrepancies.
* Participate in virtual meetings and team updates.


Required Skills & Experience

Core Requirements

* 1–3 years of experience in procurement, purchasing, supply chain, or administrative roles.
* Strong organizational skills with excellent attention to detail.
* Proficiency in Microsoft Excel / Google Sheets.
* Experience using procurement or ERP systems (SAP, Oracle, Coupa, Ariba, Jaggaer, Proactis, or similar).
* Good written and verbal communication skills.
