About the Role
Providing a first‑class level of support to our executive team. You’ll be using your outstanding IT skills to stay one step ahead in compiling reports, extensive diary and travel management and event coordination. Being able to think on your feet and adapt to last minute changes is a key part of this role.
This role will be hybrid, with a minimum of 3 days a week at our Cambridge office.
Responsibilities
* Support the Chief Leadership Team (CLT) in scheduling meetings, appointments, and maintaining busy diaries/calendars
* Quickly establish the varying needs of CLT members and how best to support them
* Develop a solid understanding of the global medical devices environment and be able to credibly interact with individuals inside and outside of the company sometimes as the Company lead contact person
* Co‑ordinate meetings, VIP visits, events and off‑sites:
o Secure locations and set‑up, secure resources, co‑ordinate hotel and transport services
o Facilitate transitions between contacts and greet guests as appropriate
o Maintain meeting minutes and action items follow‑up lists
* Develop, edit, and publish presentations, prepare agendas and letters as requested
* Collate and produce reports as needed by members of the executive team
* Screen email correspondence, mail and telephone calls; review, route and respond to inquiries as appropriate
* Make travel arrangements, including complex international travel
About you
* Outstanding IT and hardware skills; you’ll be an MS Office super user and confident with conferencing hardware such as projectors, screens, conference phones and virtual meetings on Teams, Zoom, Google etc.
* Highly organised, resilient and able to problem‑solve and take responsibility
* Proven influencing skills at a senior level, self‑starter with the ability to work under pressure
* Ability to absorb information quickly
* Excellent written and verbal communication skills
* Genuine desire to help and support
* Experience of supporting senior level.
* Proven ability to calmly manage and adapt to last minute change
