Team Leader Whitewell Rd, Newtownabbey Job Reference: WHITEWELL POST OFFICE /GROCERY- POST/25/10/28 Salary: £13.05 PER HOUR Contract Type: Permanent Contract Hours: 40 Closing Date: 30 Nov 2025 Career development Enhanced public holiday rates Accredited training & support 28 days annual leave Pension benefits Responsible to: Store Manager & Deputy Manager Main purpose of job: To sell and collect payment for all Post Office merchandise and services and manage the replenishment of all Post Office stock /merchandise. Ensure delivery of excellent customer service and maintain clean, safe and secure working area of Post Office. Observing all of WineFlairs Policies and Procedures and adhere to all Post Office National Standards and Regulations. Tasks/duties involved: Customer Service To ensure the working area of the Post Office unit specifically is clean, tidy and safe for both staff and customers. To report on time for work, be well presented and professional in terms of dress code and adhere to Company uniform guidelines. To serve all customers with courtesy offering an efficient and friendly service. To ensure customers are served as quickly as possible To follow the Post Office customer service guidelines and use their 5W procedures for all customers In relation to the Post Office unit ensure planning for busy trading periods and manage and were possible predict customer patterns. To respond to any customer queries or complaints as quickly and effectively as possible, escalating any issues to Store/Deputy Manager or Post Office channels if necessary. To maintain an understanding of all current and new products and services offered at our Post Office. Share product/service knowledge and experience with all assigned Post Office staff and ensure all relevant staff are updated accordingly. Sales and Marketing To promote all Post Office products and services to increase sales by maintaining your knowledge and understanding of same and where possible promoting customer loyalty and encouragement of new business. To ensure staff and customers are aware of all Post Office products and services through appropriate and full use of all approved promotional material. To ensure that no advertising posters/promotional material other than those authorised by the Post Office and WineFlair are displayed, and that all material is clean, properly displayed and up to date. To comply with all WineFlair and Post Office delivery policies and procedures. To provide feedback to your Store Manager, Area Manager and if required Post Office Ltd. on issues surrounding specific products/promotions/opportunities within the Post Office outlets. Cash Handling To be fully aware of all cash, bank transfer and credit/debit card handling procedures and to adhere to them scrupulously. In the event of any cash/till shortages, identify possible causes, gathering evidence and alerting Store /Deputy Manager or Area Manager immediately. Balance Post Office Cash Handling on a daily and weekly basis to a £0.00 balance Health and Safety To understand and abide by WineFlairs H&S policies and procedures and familiarise yourself with all additional Post Office protocols. To be familiar with the location and use of all fire extinguishers and emergency/fire evacuation procedures. To ensure that the correct manual handling procedures are adhered to at all times, including when receiving orders and replenishing stock. Security To ensure that WineFlair and Post Office property and equipment are safeguarded and safe to use at all times, reporting any damages/ maintenance issues via the WineFlair Ticket System and informing the Store /Deputy Manager. Report to the Store /Deputy Manager any stock/goods losses immediately. Be aware of and monitoring any suspicious circumstances or potential security risks, escalating your concerns to the Store /Deputy Manager. To be familiar with the use of CCTV surveillance equipment, store security systems and safes. To maintain professional confidentiality at all times and not disclose confidential Company and/or Post Office information or material to any unauthorised person. To perform keyholding duties if required for the not only for the Store but also specifically for the Post Office unit. To ensure the secure and safe storage of all Royal Mail and Parcelforce letters and parcels in accordance with Post Office polices. Staffing and Training To be able to work unaccompanied and use your own initiative. To ensure that the site is open for business throughout the prescribed opening hours, and work with the Store /Deputy Manager to plan staff rotas so as to achieve the level of staff cover with adequate coverage for holidays and sickness etc. To assist in the recruitment and selection of replacement staff as necessary. To ensure new staff are registered with the Post Office and complete registration and training procedures required by the Post Office in order to fulfil their tasks /duties as required by both the Post Office and WineFlair. Ensure you are fully knowledgeable with all operational tasks performed by staff at the premises. To encourage teamwork to support the attainment of all Store objectives. Discuss with Store Manager on a weekly basis Post Office unit performance and sales achievements contributing ideas and suggestions for improvements. To assist with staff performance reviews /issues expected by WineFlair Company standards and Post Office National Standards. To be aware of and adhere to all WineFlair Policies & Procedures. Administration and Accounting To complete all paperwork and accounts (including daily and weekly reports) accurately and promptly for submission to the Post Office as specified. To calculate and reconcile all relevant cash handling process and paperwork on a daily and weekly basis in line with both Company and Post Office procedures. To identify and investigate all cash shortages and escalate all unresolved shortage with your Store /Deputy Manager. Place orders in line with Post Office requirements and Company stock ordering procedures to ensure supply and stock levels for all products within the Post Office unit and WineFlair Store. To perform a weekly line count of all stock and record results as specified by the Post Office. To assist with general stocktaking as and when required for the Post Office and WineFlair Store helping ensure stock levels are accurately recorded and monitored. Availability To attend meetings and management development/training programmes as required by senior management. To perform keyholding duties as and when required. To be flexible in availability to cover absenteeism and work extra hours if and when required. To be flexible as regards to location of work and willing to assist in other Wineflair stores as and when required. Any other duties relating to the position, as may be deemed necessary by the management.
