ABOUT THE POSITION
The Executive Assistant (EA) will serve as a critical right-hand partner to the CEO and leadership team, ensuring that the company operates with focus, efficiency, and clarity. In our fast-paced, high-growth environment, priorities shift quickly and the EA will act as a stabilizing force — managing schedules, filtering information, and ensuring leaders spend their time on the highest-value activities. You’ll be trusted with sensitive information and expected to exercise judgment, discretion, and professionalism at all times. The EA will be embedded at the heart of the business ensuring seamless coordination across departments. The EA will be a key presence in the office ensuring guests are greeted, deliveries received and generally making it a great environment to work in. This is a high-visibility, high-impact role that requires a mix of organisational excellence, communication skills, emotional intelligence, and adaptability. It’s a perfect fit for someone who thrives in startup culture — resourceful, proactive, unflappable, and excited by the opportunity to grow alongside the business.
Responsibilities
* Manage calendars, meetings, and travel arrangements across time zones.
* Prioritize competing demands and ensure leaders are always prepared.
* Manage inboxes, summarizing emails and assisting with task prioritization.
* Draft, proof, and manage communications (emails, board papers, investor updates).
* Coordinate leadership meetings: agendas, notes, follow-ups, and actions.
* Manage confidential information with discretion.
* Help plan company all-hands, offsites, and culture initiatives.
* Act as a point of contact for internal stakeholders needing leadership input.
* Conduct research and prepare briefing materials for key meetings.
* Receive deliveries, greet guests and act as first point of contact.
* Own ad hoc initiatives to support business growth (events, process improvements, etc.).
Qualifications
* Previous EA experience is a must, preferably for a tech company and in a startup environment (but not essential).
* Confident and personable
* Exceptional organisational skills, attention to detail, and follow-through.
* Strong written and verbal communication skills.
* Ability to thrive in a fast-moving, often ambiguous environment
