Working within the Real Estate Team
We're looking for an experienced Executive Assistant to support the Head of Division and Head of Construction in the Real Estate Team.

Requirements
Responsibilities:
* Providing high level executive, research and project support to the Head of Division and Head of Construction
* Proactively overseeing their schedules and workload, ensuring they are adequately prepared for meetings, organising meetings, preparing agendas and minute taking.
* Following up pre and post meeting actions and completing tasks as directed
* Maintaining an overview of all key issues and work requiring attention, prioritising and resolving issues as they arise. Ensuring all tasks and time sensitive matters are completed.
* Developing and maintaining effective systems to organise and deal with the flow of work to and from the Head of Division and Head of Construction
* Supporting on complaints and other matters as directed, following up with team members as required
* Collating and circulating papers for Board, Operations Group and Leaders meetings, and preparing other reports as required by the Head of Division
* Developing and maintaining strong working relationships with all departments, prioritising links with Marketing and HR
* Support HR processes to include career development and follow up actions
* Maintaining and developing the teams Intranet page and Capital Academy content
* Working with the Marketing and Client & Communications team to ensure team requirements are met, supporting continuous improvement and development
* Ensuring effective organisation of events such as conferences, seminars, workshops and meetings, in partnership with the Client & Communications team
* Other projects and tasks as directed by the Head of Division.
You'll need:
* Previous experience supporting at Director/Executive level
* Flexible ‘can do' proactive approach
* Good initiative and problem-solving ability - offering solutions and confidently managing upwards
* Excellent written and oral communication skills and clear written presentation
* Confident communicating at all levels within and outside the firm
* Excellent organisational skills, attention to detail, ability to multi-task, prioritise a high-volume workload and work to deadlines
* Ability to work well under pressure, adapt to changing requirements and see opportunities for improvement
* Team-focus with a flexible and collaborative approach to working with others, but also the ability to work independently with minimal supervision.
* Strong client focused approach with plenty of drive and enthusiasm to help provide an excellent service
* Excellent IT skills to include Microsoft Word, Excel, PowerPoint and Outlook.
