Amber Labs is looking for a highly organised, proactive, and trusted Executive Assistant to support our CEO and Managing Director (MD). This role will be pivotal in enabling our senior leadership to operate efficiently and focus on high-value work by managing the daily logistics, information flow, and stakeholder coordination around them.
You’ll need to be comfortable working with pace, discretion, and a high degree of ownership — acting as a gatekeeper, organiser, researcher, and problem solver across a wide range of priorities.
Key Responsibilities:
Diary & Inbox Management
* Manage complex calendars for the CEO and MD, including internal and external meetings
* Proactively resolve scheduling conflicts, prioritise meetings, and ensure alignment with strategic goals
* Support inbox management, flagging urgent messages and drafting replies where appropriate
Travel, Logistics & Bookings
* Book office space, restaurants, and meeting venues for key engagements or event
* Coordinate domestic and international travel, including transport, visas, and accommodation
* Prepare travel packs with agendas, briefs, and relevant documentation
Meeting Support & Briefing Preparation
* Coordinate and prepare materials for executive meetings, board calls, and offsites
* Draft agendas, talking points, or background briefs ahead of key stakeholder meetings
* Attend meetings where needed to capture notes, actions, and follow-ups
Information Flow & Stakeholder Coordination
* Act as a gatekeeper and point of contact between the execs and internal/external stakeholders
* Help manage communication across the business and ensure follow-ups are tracked
* Support coordination across leadership meetings, weekly cadences, and planning sessions
Ad Hoc Support
* Assist with personal admin for the CEO and MD where required
* Support light-touch project management or research on specific business priorities
* Pitch in on internal events or team initiatives as needed
About you:
* Proven experience as an Executive Assistant, ideally in a fast-paced or entrepreneurial environment
* Comfortable supporting multiple leaders with discretion and sound judgment
* Confident and assertive communicator who can engage effectively with senior stakeholders and external contacts
* Exceptional organisational and time management skills, with strong attention to detail
* Excellent written and verbal communication skills
* Confident using MS Office and productivity tools
* Calm under pressure, solutions-focused, and quietly influential
