The Role

Reception/Clerical Officer (Band 2) providing front‑of‑house, administrative and clerical support to Adult Community Mental Health Services within East Renfrewshire HSCP. Acts as the first point of contact for service users, staff, and external partners, ensuring smooth day‑to‑day operations across two health and care centres.

Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.

All other roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.


Duration, Location, and Working Pattern

* Fixed‑term/secondment until 31 December 2026
* 15 hours per week
* Shift Pattern – Thursday, 9 am‑5 pm – Friday, 9 am‑5 pm
* Base location – Barrhead/Eastwood

Key Responsibilities

* Provide reception duties as the first point of contact for East Renfrewshire HSCP.
* Assist with room bookings and general administrative tasks for Adult Community Mental Health Teams.
* Update and maintain PMS (Trakcare/Care Partner), EMIS, and referral management systems.
* Maintain accurate patient records and ensure confidentiality across NHS GGC and other health authorities.
* Process referrals: create and update client details, gather supporting information, and direct referrals to appropriate teams.
* Handle telephone enquiries from GPs, health staff, clients, carers, and relatives, often involving sensitive or emotionally challenging information.
* Manage incoming calls and direct them appropriately.
* Maintain stock lists, order supplies via PECOS, and file related paperwork.
* Photocopy and distribute documents for meetings and projects.
* Perform routine clerical tasks as required.
* Provide cover for other admin staff during absence or sickness.
* Maintain and distribute contact lists.
* Input staff rotas into SSTS.


Knowledge, training, qualifications and/or experience required to do the job

* Ability to use NHS systems such as Trakcare, Care Partner, EMIS, and SSTS.
* Understanding of confidentiality, data protection, and handling sensitive information.
* Strong communication skills for dealing with service users, carers, clinicians, and external partners.
* Administrative competence, including filing, stock management, and document handling.
* Familiarity with the PECOS ordering system (implied by duties).
