JOB SUMMARY


The Entertainment Logistics Manager is responsible for the end-to-end coordination and delivery of entertainment operations across our global projects, with a strong focus on cruise ships and yacht operations. This role ensures the seamless execution of all logistical elements relating to talent deployment, travel, scheduling, onboarding, and operational compliance.


The postholder will work closely with Talent, Product, and Client teams to ensure all entertainers are effectively onboarded, fully briefed, and operationally supported for their engagements.. This is a detail-driven role requiring strong organisational capability, problem-solving, and the ability to manage multiple moving parts across time zones and logistical areas,


KEY RESPONSIBILITIES


Talent Logistics & Deployment

* Manage end-to-end logistics for Resident Musicians, Vocalists, DJs, Guest Entertainers and Local entertainers across cruise projects.
* Coordinate international travel, visas, accommodation, and transfers in line with project timelines, budgets, and client HR requirements.
* Ensure all entertainers receive clear pre-departure briefings, documentation, and onboarding instructions.
* Liaise with internal teams and external partners to ensure seamless mobilisation and demobilisation.


Scheduling & Operational Coordination

* Coordinate rehearsal timelines, arrival schedules, and onboarding processes with vessels and product teams for logistical requirements.
* Act as the central point of coordination for all logistical updates, changes, and operational requirements.
* Ensure all stakeholders are aligned on timelines, deliverables, and expectations.
* Manage bookings for entertainer and rehearsal accommodation, studio spaces, photoshoots, ground transport and musical equipment rental.


Compliance & Documentation

* Ensure all talent documentation is complete, accurate, and compliant with company policies and client requirements.
* Maintain records of contracts, travel documents, certifications, and onboarding materials.
* Ensure adherence to East West Entertainment Group Guidelines, SOPs, and client-specific codes of conduct.
* Support onboarding compliance, including medicals, visas, and contractual documentation.
* Create, review and submit contractual paperwork for entertainers. Collecting and storing documentation on the company database.


Operational Support & Problem Solving

* Proactively identify and resolve logistical challenges, including travel disruptions, scheduling conflicts, or last-minute changes.
* Provide real-time support to talent and onboard teams to ensure smooth operational delivery.
* Coordinate contingency planning to mitigate risks and ensure continuity of service.
* Support crisis management relating to talent logistics when required.


Systems & Reporting

* Maintain accurate tracking of all logistics within internal systems (e.g., Monday.com or equivalent).
* Provide regular updates and reports on deployment status, timelines, and operational milestones.
* Ensure 100% accuracy across logistics databases and tracking tools.
* Continuously review processes to improve efficiency and operational effectiveness.

* Self-motivated, proactive, and capable of managing multiple projects simultaneously.
