Job Title: Case Administrator - Probation Service (Band 2)

Our Client, a reputable organisation within the Probation Service, is hiring for a dedicated and professional Case Administrator to join their team in Barry. This is a vital administrative role supporting the smooth operation of the Probation Service, ensuring a welcoming environment for visitors and providing essential clerical support to operational teams.
What you'll be doing:
* Acting as the first point of contact for visitors, probationers, and callers, greeting them professionally face‑to‑face and via phone/email.
* Managing visitor logs, issuing passes, and ensuring security protocols are followed.
* Using tact and diplomacy to handle sensitive situations, recognising when additional support is needed.
* Responding to general enquiries about the Probation Service and local support services, referring complex questions to managers.
* Coordinating building logistics, including mail handling, ordering supplies, managing meeting room bookings, and supporting event setups.
* Handling petty cash, travel warrants, and supporting transport arrangements for probationers.
* Assisting with building security, fire safety, CCTV monitoring, and acting as Fire Warden/First Aider when required.
* Logging faults, incidents, and maintenance issues, escalating as necessary to maintain building security and safety.
* Providing confidential administrative support to case management teams, including updating files, producing documentation, and managing databases.
What you'll bring:
* Proven proficiency in ICT, especially Microsoft Office applications.
* Excellent verbal and written communication skills.
* Ability to remain calm and professional in high‑pressure situations.
* Strong organisational skills with attention to detail.

Mandatory Skills & Qualifications:
* GCSEs (or equivalent) in Maths and English.
* Experience working in customer relations or a busy administrative environment.
* Knowledge of health and safety procedures and security protocols.
Desired Skills & Experience:
* Experience within the criminal justice sector or high‑pressure environments.
* IT qualifications such as ECDL/CLAIT or similar.
Additional Information:
* This role involves core hours that include evenings and weekends, depending on business needs.
* All candidates will undergo security and identity checks prior to appointment.
* External candidates will be on a six‑month probation period; internal candidates may also be subject to probation if not already completed.
