Bryn Celyn is a well-established nursing home in Maesteg. We are looking for a highly organised and compassionate Administrator who will play a central role in both the operational running of the home and the experience of our residents and their families.
The Role
This is a pivotal position within the home, working closely with the Home Manager and Deputy Manager. You will be responsible for ensuring that administrative systems are accurate, compliant, and support safe, effective care delivery.
We are looking for someone who is proactive, detail-focused, and confident in managing multiple priorities in a fast-paced care environment.
Key Responsibilities
Your duties will include, but are not limited to:
Administration & Compliance
* Maintain accurate and up-to-date staff and resident records, ensuring compliance with CIW and company standards
* Support audits, inspections, and ensure documentation is always inspection-ready
* Track and monitor training compliance, DBS records, and staff files
* Ensure confidentiality and secure handling of sensitive information
Payroll, Rota & Staffing
* Prepare and submit weekly payroll data, ensuring accuracy and deadlines are met; managing staff timesheets and payroll preparation, ensuring accuracy and timely submission
* Act as the first point of contact for payroll queries
* Support rota management, identifying gaps and escalating concerns proactively
* Monitor annual leave, absences, and staffing records
Resident & Family Support
* Act as a welcoming and professional first point of contact for residents’ families, visitors, and external professionals
* Support families with queries, updates, and administrative processes, ensuring a responsive and compassionate approach
* Assist with new admissions, ensuring paperwork is prioritised and completed accurately
* Conduct show rounds and support occupancy by engaging positively with prospective families
* Handle feedback, concerns, and queries sensitively, escalating where required
Finance & Systems
* Manage resident funds and petty cash in line with company policies
* Support financial administration including invoicing, receipts, and record-keeping
* Maintain accurate internal systems and reporting
Recruitment & General Support
* Coordinate recruitment processes, including interviews and onboarding
* Prepare meeting minutes and support management with reporting
* Ensure smooth day-to-day running of the office and front-of-house environment
* Promote a professional, calm, and organised reception area

* Excellent communication skills, with the ability to support families with empathy and professionalism
* Understanding of confidentiality, safeguarding, and duty of care

* Proactive mindset with confidence to elevate concerns when needed
* Ability to build strong relationships across all departments

* Working pattern: Monday to Friday (with occasional weekend shifts)
