What we are looking for We are currently seeking a Operations & Guest Programme Manager – Memberships FTC (maternity cover) to join our Memberships team, based in our offices at the racecourse in Ascot, Berkshire. This is a full time, fixed term contract role for 12 months. What you’ll be doing Operational Management Act as the liaison, taking ownership of the relationship, between the Private Clubs and ARL Operations Department to deliver best in class private marquee Club spaces for the Royal Meeting. Oversee on site delivery of the final agreed design, ensuring clients expectations are delivered and exceeded. Support Club secretaries throughout Royal Week to ensure they have all they require in order to deliver an exceptional experience for their Members at the Royal Meeting. Oversee the bespoke works that any boxholders wish to undertake to their Annual Boxes. Liaising and coordinating with all relevant parties involved, including both internal and external stakeholders, such as the ARL facilities team, or external designers. Any other design, build or operational coordination led projects relating to the Royal Meeting (e.g. Saddling Club/Bar Antoine, Norfolk, Windsor Greys, Beaverbrook Balloons, Royal Activation projects) as required. Manage and deliver all Membership approved capex projects liaising with internal and external stakeholders to deliver on time and within approved budget limits. Manage and deliver any projects related to taking The Summer House on tour. Guest Programme Work with the relevant Directors, Heads and Senior Managers to deliver the ARL business guest programme within The Summer House marquee, including operational oversight of the marquee design and delivery, and management of the Guest Programme, including invitations/communication, and ownership of the final guestlist for each day of the Royal Meeting. Oversee the design and operational delivery of The Summer House marquee and AA Trackside space, including agency selection via Tender process, design development, and overseeing design and delivery from an operational perspective. Coordination, management and execution of the CEO, Director, HOD guest programmes at the Royal Meeting, including liaison with CEO and Directors’ Offices and Heads of Department for the planning of guest lists. Development and issuing of invitations to Royal Ascot and liaison with guests on queries and RSVPs. Management of Zkipster (other related systems) on day-to-day basis and roll out of training for relevant internal stakeholders. Fulfilment and dispatch of tickets, badges, car park labels and relevant information. Liaison with internal and external stakeholders including operational contractors, facilities, operations and catering for venue set up, including special access and dietary requirements. Recruitment of temporary team members to support fulfilment and hosting responsibilities, and management of temporary team during Royal Ascot. Provide a front of house reception service for all guest arrivals and manage facility execution on the day. Liaison with key catering personnel to confirm requirements, confirm numbers and ensure a seamless service to all invited guests. Support ad hoc commercial guest programme events as required. Memberships Full execution and ownership of the operational elements of the Colts & Fillies membership including fulfilment of New Member packs and raceday activity coordination, liaising with the Membership Executive to ensure accuracy of planned activities in the marketing communications. Support raceday functions as required within the membership department. Assist and deliver the operational aspects of ‘after sales’ care including for annual boxholders, not limited to build projects for Boxholders (i.e. organising access for suppliers, coordination and liaison with facilities and contractors).
