Actemium Mechanical specializes in the bespoke design and fabrication of process-related projects.
This is an exciting opportunity for a Business Unit Administrator to join our rapidly growing Mechanical Engineering team. You will be responsible for the day-to-day administration functions within the Business Unit, supporting the Business Unit General Manager and team to ensure smooth operations. Building and maintaining strong collaborative relationships with operational staff within your BU and across the group is essential. The role requires excellent communication skills, both written and oral, strong administrative skills, and the ability to work in a fast-paced environment. You will report directly to the Finance Business Partner.

Key Objectives
* Coordinate and manage daily administrative functions within the Business Unit, providing excellent service to employees, customers, and suppliers.
* Support compliance with the group’s rules, principles, and internal controls, including Business Unit reporting obligations.
* Collaborate with the Business Unit Finance Team.
Responsibilities & Accountabilities
* Perform administrative and office duties to ensure smooth Business Unit operations.
* Ensure compliance with the company’s Internal Control Manual and procedures.
* Proactively resolve problems.
* Maintain the Business Unit’s Health & Safety records.
* Conduct monthly stock checks.
* Handle ad-hoc tasks such as booking accommodation/travel and Business Unit housekeeping.
* Support the Business Unit Finance Team, ensuring data and transactions are accurately recorded and timely.
* Assist with year-end audits by providing necessary information.
* Maintain records and file project data.
* Create and maintain customer/vendor accounts.
* Raise purchase orders, process invoices, and handle related procurement tasks.
* Process weekly timesheets for payroll support.
* Assist with HR paperwork, including new starter documentation and records management.
* Track annual leave and sickness records.
* Maintain company records (training, insurance, equipment, etc.) and manage office supplies and asset registers.
Technical Skills & Experience
* Strong administrative background.
* Excellent oral and written communication skills.
* Friendly, approachable, and relationship-oriented.
* Attention to detail, quality, and accuracy under deadline pressure.
* Proficiency in Microsoft Office (Excel, Outlook, Word).
* Self-motivated with the ability to work independently and within a team.
* Experience with SAP systems (preferred).
* Experience in a project-based environment.
