Job Summary
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The successful candidate will be responsible for supporting daily administrative operations, maintaining effective communication channels, and ensuring the smooth running of the office. Responsibilities to include:
* Answering and directing incoming calls and emails
* Maintaining organised digital and paper filing systems
* Preparing correspondence, letters, and internal documents
* Issuing offer letters and memorandums of sale
* General office administration and ad-hoc support to the team
* Creating, updating, and maintaining property listings on portals and the company website
* Preparing property particulars and brochures
* Ensuring compliance documents are obtained and recorded (ID checks, AML, etc.)
* Maintaining accurate records in line with GDPR requirements
* Supporting internal compliance procedures and audits
* Processing invoices, payments, and receipts
* Assisting with rent collection and payment schedules
* Supporting reconciliation and reporting as required
* Ensuring data accuracy across all platforms
* Producing basic reports for management as required
* Supporting negotiators and managers with day-to-day tasks
* Assisting with onboarding of new staff where required
* Maintaining accurate personnel records and ensuring all required documents are held
Requirements
* Proven office experience with strong organisational skills
* Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint)
* Experience in administrative roles with excellent clerical skills and data entry accuracy
* Strong phone etiquette and communication skills
* Ability to prioritise tasks efficiently in a fast-paced environment
* Demonstrated organisational skills with attention to detail
* Previous experience in using office equipment such as printers, scanners, and telephony systems is desirable
