Role
We are currently seeking a Document Controller to join our team. Initiative, problem-solving skills and strong interpersonal and communication abilities are essential. The role involves implementing document control procedures and configuring and managing Common Data Environments (CDE) / Electronic Document Management Systems (EDMS) at an administrator level.
Key Responsibilities
* Management and configuration of CDE – Configure and manage the system on a day-to-day basis, create and maintain user accounts and security groups, and respond to ad-hoc requests to move or rename uploaded files/documents.
* Interface with Project Team and stakeholders – Act as the main point of contact for queries and requests related to the CDE system.
* Provide CDE training and maintain training log – Organise and deliver regular training for new users and refresher sessions; provide guidance on file naming protocols; create and maintain training logs.
* Provide advanced training – Deliver advanced CDE functionality training to super users and local administrators.
* Maintain container configuration & workflows – Regularly check file/document links and workflows, and release/move-on any locked workflows as required.
* Develop and maintain user guides – Prepare and update training packs, system user guides and quick reference sheets.
* Manage system compliance and reporting – Conduct weekly compliance audits on file naming, storage locations, and user access; provide reports to the Head of WSO.
* Create new project set ups on CDE – Create new project sites and assign users.
* Support – Provide ad-hoc reports on system usage and compliance, and assist with user activity requests.
* Maintain User Directories, IM Protocol and File naming – Update access matrices, IM and file naming protocols for new projects and users.
* Respond to ad-hoc requests on document management/CDE – Provide guidance on system use and related policy documents.
Qualifications
* Experienced Information Manager with 3+ years IM and/or consultancy experience.
* Experience with a variety of projects.
* Administrator level experience with at least one of: Aconex, ViewPoint/4P, Asite, Bentley, ProjectWise.
* User level experience with at least one other CDE / EDMS or similar system.
* Advanced Microsoft Office skills.
* Excellent interpersonal skills and ability to communicate with all levels.
* Well organized with ability to manage multiple requirements simultaneously.
* Ability to manage priorities in a dynamic project environment.
* Skilled in presenting to groups and delivering training in various formats.
* Set up and maintenance of workflows within a CDE / EDMS.
* Excellent presentation skills.
Desirable Skills & Experience
* Understanding of Building Information Modelling (BIM) in the context of Information Management and Document Control.
* Running stakeholder workshops.
* Process capture and mapping.
* Use of advanced optional CDE / EDMS features, e.g. e-procurement.
