Executive Assistant to Managing Director
OX Tools is hiring an organised, proactive Executive Assistant (EA) to support the Managing Director and Senior Leadership team. This role combines high level executive support with hands-on office coordination to keep meetings, communications, and operations running smoothly in a fast-paced, people-first business.
You’ll act as a trusted liaison for the MD, managing complex schedules, preparing for key meetings, and helping maintain a positive, efficient, and welcoming office environment.

Key Responsibilities
* Executive Support
* Manage complex diaries and calendars, ensuring priorities and preparation are on point.
* Arrange and coordinate UK and international travel for the MD and Senior Leadership team.
* Plan, prepare, and support key internal meetings (e.g. weekly sales meetings, management meetings).
* Draft agendas, create presentations, and record clear, actionable minutes.
* Follow up on meeting actions to keep projects moving and deadlines met.
* Act as the first point of contact for calls, emails, and correspondence, handling them with professionalism.
* Office Support
* Oversee smooth day-to-day running of the office, including supplies, facilities, and organisation.
* Provide a welcoming first impression for visitors and enquiries.
* Support internal meetings and visits (room setup, refreshments, catering).
* Assist with admin tasks across departments (filing, formatting, communications).
* Help coordinate internal events and contribute to a positive team culture.
